Job Summary

This role is an exciting opportunity to join the Central Events & Regional Marketing team within the Marketing Department at Royal Bank of Canada. As an Administrative Executive, you will be responsible for providing administrative support to the Client Marketing Team, ensuring the smooth operation of marketing processes and events.

Key Responsibilities

  • Manage procedural documents, supplier contracts, and team templates to ensure accuracy and compliance.
  • Coordinate marketing requirements from local offices, supporting the creation of adverts, invitations, and brand merchandise.
  • Arrange team meetings, agendas, minutes, and follow-up actions to ensure effective communication.
  • Collate data from across the team to provide monthly Management reports, highlighting key performance indicators.
  • Coordinate the distribution of digital communications and post-event surveys to ensure timely feedback.
  • Manage invoices and payment processing for central events and expenses, ensuring accuracy and compliance.
  • Research national event opportunities, venue sourcing, and support planning for central events, including coordinating external hospitality tickets.
  • Provide hands-on support with event delivery for local and large central events, including virtual event logistics, production teams, and speakers.
  • Create storyboards, images, and videos to promote events on the RBC intranet, showcasing the team's work.
  • Manage the team inbox, coordinating internal and external responses to ensure timely communication.
  • Oversee team event equipment and merchandise, including stock control, repairs, and transportation.
  • Assist the Regional & Client Marketing Director with marketing projects and business initiatives, providing administrative support as needed.

Requirements

  • Excellent verbal and written communication skills to effectively interact with the team and stakeholders.
  • Excellent organizational skills to manage multiple projects concurrently, prioritizing tasks and deadlines.
  • Ability to remain calm, multitask, and perform under pressure, ensuring the smooth operation of marketing processes.
  • Meticulous attention to detail, ensuring accuracy and compliance in all administrative tasks.
  • Experience and confidence in Microsoft365 and marketing systems, including Salesforce, Cvent, and Teams Live.
  • Deliver high-quality work within a demanding environment, meeting deadlines and expectations.
  • Genuine team player with a positive and hands-on approach, supporting the team's goals and objectives.
  • Strong work experience in marketing, with a focus on administrative support and event coordination.
