About the Role:
We are seeking a highly organized and enthusiastic Event Planner to join our sales team at Restaurant Associates. As an Event Planner, you will be responsible for coordinating conference and events bookings for our exceptional venues.
Key Responsibilities:
- Coordinate conference and events bookings, ensuring seamless execution and exceeding customer expectations.
- Conduct showrounds and meet with customers to establish final details, upselling facilities and meeting customer needs.
- Produce BEOs (Banquet Event Orders) and attend operational meetings to ensure accurate handover of details and requirements to the operations manager.
- Raise and send customer invoices, and be responsible for post-event calls and customer feedback.
- Ensure the highest standards of accurate and timely customer, staff, and management information.
Additional Responsibilities:
- Conduct reactive sales activities, including responding to telephone and email enquiries for final details.
- Follow up on post-event calls within a specific timeframe to optimize repeat business.
- Secure venue showrounds for Business Development Managers.
- Achieve agreed-upon upselling sales targets.
- Ensure all details and requirements of confirmed bookings are accurately handed over to the operations team.
- Make proactive calls focusing on past bookers, lost and turned-down enquiries, and lapsed accounts.
- Liaise with client onsite teams to ensure a harmonized approach.
- Attend venue showcase events and Familiarization Trips (FAMs).
- Generate and send full pre-payment invoices to customers.
- Update final invoice revenue in Delphi post-event.
- Update third-party platforms and the venue website with seasonal offers and packages.
- Stay aware of sales activity and initiatives of competitors, using market intelligence to ensure Restaurant Associates obtains its market share in this sector.
- Maintain accurate, up-to-date reports and information.
- Maintain Delphi FDC booking system compliance benchmark.
- Maintain relationships with local event partners and Local Venue Partners (LVPs).
- Support innovative campaigns for the Sales and Marketing plan.
- Respond positively and efficiently to customers, ensuring repeat business is optimized.
- Perform ad-hoc tasks as directed.
Requirements:
- Extensive event planning experience within the UK conference and events industry.
- Experience in achieving Key Performance Indicators (KPIs) and developing business strategy to achieve growth expectations.
- Minimum 2 years of experience in an event planning role within a Conference & Events environment.
