Job Overview

The Business Change Analyst at Skillsearch will be instrumental in comprehending and documenting organizational processes to pinpoint areas for improvement and facilitate smooth transitions to enhanced operational methodologies. This position is vital for articulating requirements, bridging the gap between current and future operational models, and promoting the successful integration of new systems.

Collaborating closely with the Program Manager, this role merges aspects of business analysis, process documentation, and change management to guarantee effective project delivery.

Key Responsibilities:

  • Process Analysis and Documentation: Capture existing HR and Payroll workflows, including data flows, interdependencies, and system integrations.
  • Gain insights into the target operational framework for Workday and outsourced payroll.
  • Evaluate current workflows against the target model to uncover discrepancies and necessary adjustments for alignment with the new system.
  • Create future state process maps to aid in visualizing changes for business stakeholders.
  • Requirements Gathering: Identify gaps between existing workflows and the desired operational model, detailing necessary adjustments to meet new system specifications.
  • Evaluate the impact of proposed changes on business functions.
  • Work alongside implementation teams to ensure accurate integration of new processes into the design.
  • Incorporate requirements from various teams into the future state process documentation.
  • Impact Assessment: Analyze the implications of new processes and systems on current operations.
  • Define potential effects of changes on business processes and stakeholders.
  • Collaborate with the project team to develop strategies to mitigate change-related risks.
  • Stakeholder Engagement: Provide ongoing updates regarding process mapping, gap analysis, and implementation, ensuring clear communication of any changes or new requirements.
  • Support comprehensive testing during User Acceptance Testing (UAT), ensuring that test scenarios effectively cover use cases.
  • Change Management and Documentation: Partner with project stakeholders to evaluate the impact of changes and confirm operational readiness.
  • Prepare stakeholders for the transition to new systems, ensuring comprehension of updated processes.
  • Assist in crafting training materials tailored to new processes and systems, ensuring all users are equipped for the transition.

Activities & Deliverables:

Process Analysis and Documentation:

  • Activities: Document and analyze current HR/Payroll processes, workflows, data flows, and system integrations. Identify inefficiencies and opportunities for enhancement. Develop detailed process maps for both current and future states. Analyze discrepancies between existing processes and target operational models. Collaborate with implementation teams to ensure feasibility.
  • Deliverables: Current state process documentation, future state process maps, business requirements documentation, and gap analysis reports.

Impact Assessment:

  • Activities: Assess the implications of proposed changes on business functions. Identify potential risks and formulate mitigation strategies. Conduct stakeholder analysis and readiness assessments.
  • Deliverables: Change impact assessment reports, stakeholder analysis documentation, change readiness assessment reports, and risk assessment and mitigation plans.

Essential Skills:

  • Expertise in documenting and analyzing business processes.
  • Capability to define requirements and recognize change impacts.
  • Strong communication skills and a collaborative approach to teamwork.
  • Ability to support training initiatives and develop training and communication materials.
  • Experience in supporting end-to-end testing during UAT.
  • Organized and structured with robust problem-solving abilities.
  • Adaptability to changing priorities and requirements.
  • Self-motivated and autonomous, demonstrating initiative with minimal supervision.
  • Experience with Workday is preferred.
  • Proficiency in MS Visio or similar process mapping tools.
