Job Title: Adult Community Services Manager

We are seeking a highly organized and communicative individual to join our team as an Adult Community Services Manager within the Dental Community Services department at Birmingham Community Healthcare Foundation Trust.

The successful candidate will be based within a clinic and will be part of a multidisciplinary team, working closely with clinicians and nurses to support the patients' experience within our Dental Services. Our main patient groups are Paediatrics and Special Care, and this role will be pivotal in supporting the patients' experience within our service.

The role will also provide support to clinicians with any patient-related admin tasks, including managing patient inquiries through email and telephone communication, supporting the clinical team with admin-related tasks, taking payments of dental charges, data validation, waiting list management, and using digital patient booking systems.

We are looking for individuals with a proactive approach, good organizational and communication skills, and a good knowledge of IT software/systems.

Key Responsibilities:

  1. Managing clinics and waiting lists within their Specialty Management Group.
  2. Preparing and updating clinical records for all patients booked within Dental Services.
  3. Handling telephone queries or complaints and escalating as necessary.
  4. Booking appointments on the Electronic Dental Records (EDR) and Patient Administration System (PAS).
  5. Ensuring accurate data inputting of clinic activity onto PAS.
  6. Monitoring and validating local waiting lists.
  7. Assisting new employees or work experience placements with on-the-job training.

The post holder will follow the escalation policy to ensure that any issues with clinic times, waits, and data inputting are raised with the Team Leader/Specialty Manager at all times.
