About the Role

We are seeking a highly skilled and experienced Wedding and Events Coordinator to join our team at Titanic Hotel Belfast. As a key member of our sales and events team, you will be responsible for coordinating all aspects of meetings and events, ensuring that every detail is taken care of to deliver exceptional customer experiences.

Key Responsibilities
  • Assist in the development of wedding and events sales goals, working closely with the sales team to identify new business opportunities.
  • Manage the meeting and events diary/software system, ensuring accurate and up-to-date records of all events and meetings.
  • Ensure that all events and meetings are delivered within budget and to the highest standards of quality and service.
  • Maintain effective correspondence with clients, stakeholders, and internal teams, ensuring clear communication and timely responses to all queries.
  • Meet budgeted sales and profit margins for business, by soliciting, selling, and confirming business as required.
  • Prepare proposals that are geared to maximize profit while satisfying guest needs, utilizing the 'Winning Edge' sales techniques.
  • Solicit files on a timely basis to confirm business, and conduct on-site client inspections to ensure that all events and meetings meet the hotel's standards.
  • Coordinate activities related to booked business with other departments, ensuring seamless delivery and exceptional customer experiences.
  • Communicate with all departments in an effective and timely manner, ensuring that all stakeholders are informed and aligned with event plans and timelines.
  • Conduct competitor analysis on a regular basis, identifying opportunities to improve and enhance the hotel's events and meetings offerings.
  • Communicate requests for special accommodations and suites, and pre-block all special requests or VIP accommodations accurately.
  • Keep Line Manager and Revenue Manager informed of accommodation booking status, and communicate with Front Office Manager all group VIP's for appropriate treatment.
  • Ensure that all reservations are tracked correctly for statistical purposes, and follow up on commission and other fees paid to travel agencies etc.
  • Liaise with the Accounts Department regarding all matters of credit, ensuring that all financial transactions are accurate and up-to-date.
Requirements

The successful applicant must have previous experience in a similar position, preferably in hotel/hospitality related role. They must be highly organized, proactive, and able to work effectively in a fast-paced environment. Strong communication and interpersonal skills are essential, as is the ability to work collaboratively with internal teams and external stakeholders.

The ideal candidate will be a team player, with a positive attitude and a passion for delivering exceptional customer experiences. They will be highly motivated, with a strong work ethic and a commitment to excellence in all aspects of their work.
