Key Responsibilities
  • General Administration:
    • Manage reception duties, including greeting clients and handling general inquiries.
    • Maintain and organize office files, both electronic and paper, ensuring they are up-to-date and easily accessible.
    • Handle incoming and outgoing mail, including scanning, filing, and distributing correspondence.
    • Order and manage office supplies, ensuring stock levels are maintained.
  • Client Support:
    • Assist in the preparation and formatting of client documents, reports, and correspondence.
    • Schedule and coordinate client meetings, including booking meeting rooms and preparing necessary materials.
    • Maintain client records and databases, ensuring all information is accurate and current.
    • Assist with onboarding new clients, including setting up accounts and ensuring all necessary documentation is completed.
  • Team Support:
    • Provide administrative support to the accounting and tax teams, including data entry, filing, and document preparation.
    • Assist with the preparation and submission of client invoices and statements.

Requirements
  • Previous experience in an administrative or office support role, preferably within an accountancy practice or professional services environment.
  • Excellent organizational and time management skills, with the ability to prioritize tasks effectively.
  • Strong written and verbal communication skills, with a professional and friendly demeanor.
  • Proficiency in Microsoft Office Suite (Word, Excel, Outlook, and PowerPoint).
  • Familiarity with accounting software and CRM systems is a plus.
  • High level of attention to detail and accuracy.
  • Ability to work independently and as part of a team.
  • Reliable and trustworthy, with a high degree of confidentiality.
