Role Overview:
This position is essential for maintaining a professional and efficient reception and facilities management service.
Key Responsibilities:
Reception Management:
- Welcome and assist visitors with a courteous and professional demeanor.
- Efficiently handle incoming calls and direct them appropriately.
- Oversee the management of mail services.
- Ensure the reception area is tidy and inviting.
Support for Facilities Management:
- Aid in the organization of building maintenance and repairs.
- Keep track of office supplies and ensure they are replenished.
- Assist with office relocations and spatial planning.
- Collaborate with external contractors and service providers.
Purpose of the Role:
This role is pivotal in ensuring smooth operations at the facility, engaging with both internal and external stakeholders in a timely and professional manner.
Core Duties Include:
- Managing all visitor interactions and telephone inquiries effectively.
- Collaborating with fellow receptionists and the broader Estates Team to maintain a high standard of service.
- Overseeing the opening and closing of the building and its facilities.
- Conducting daily checks on building conditions and safety protocols.
- Coordinating with cleaning staff to maintain cleanliness standards.
- Performing administrative tasks to support the Operations team, including processing purchase orders and managing meeting reservations.
- Monitoring the Reception Desk inbox to ensure prompt responses to inquiries.
- Maintaining cleanliness and orderliness in communal areas, including kitchens and coffee points.
- Reporting building issues to the Facilities Manager.
- Assisting in the setup of meeting rooms and catering arrangements.
- Managing access for staff, visitors, and maintenance personnel.
- Ensuring compliance with Health and Safety policies and standards, including training for first aid and fire safety.
Additional Support:
- Provide ad-hoc assistance to the Facilities Manager as required.
