Role Overview:
As a Facilities Administrator, you will play a crucial role in maintaining the operational efficiency of our facilities. Your responsibilities will include managing reception duties, supporting facilities management tasks, and ensuring a welcoming environment for all visitors.

Key Responsibilities:

Reception Duties:
- Welcome and assist visitors with professionalism and courtesy.
- Efficiently handle incoming calls and direct them appropriately.
- Oversee the management of mail, both incoming and outgoing.
- Maintain a tidy and inviting reception area.

Facilities Management Support:
- Aid in coordinating maintenance and repair activities for the building.
- Keep track of office supplies and ensure they are replenished as needed.
- Assist with office relocations and space planning initiatives.
- Communicate effectively with external contractors and service providers.

Purpose of the Role:
This position is integral to the smooth operation of our facilities, ensuring that all internal and external communications are handled promptly and professionally. You will collaborate with other receptionists and the broader Estates Team to maintain high standards of service.

Daily Responsibilities Include:
- Managing the opening and closing of the building and facilities.
- Conducting daily checks on building conditions and safety.
- Liaising with cleaning staff to ensure cleanliness standards are met.
- Performing administrative tasks to support the Operations team, including generating purchase orders and managing meeting reservations.
- Monitoring the Reception Desk inbox to address inquiries proactively.
- Assisting with the setup of meeting rooms and catering arrangements.
- Managing access for staff, visitors, and maintenance personnel.
- Reporting any building faults to the Facilities Manager.
- Supporting health and safety initiatives, including training for first aid and fire warden roles.
