We are seeking a highly organized and detail-oriented Administrative Assistant to join our Facilities team. As a key member of our team, you will provide administrative support to our facilities managers and their teams, ensuring the smooth operation of our facilities.

Key Responsibilities:

  • Provide administrative support to facilities managers and their teams, including data entry, record-keeping, and correspondence.
  • Liaise with suppliers and contractors to ensure tasks are completed on time and to a high standard.
  • Manage our teams' general administrative activities, including updating records and databases.
  • Compile tender documents and reports for submission to directors and sustainability team.
  • Ensure cleaning services are provided to an acceptable standard at our facilities.
  • Perform other reasonable requests from the facilities team.

Procurement Roles:

  • Order stationery, obtain prices, raise purchase orders, and monitor stock levels.
  • Keep up-to-date costings, arrange bulk deliveries, and provide quarterly updates to suppliers.
  • Authorise logins, ordering of uniforms, and deal with ad-hoc matters.
  • Add new users to our systems when necessary.

This role will evolve as our team expands their roles in managing UK-based projects.
