Arcus FM is seeking an experienced Compliance Coordinator to join our dynamic team of professionals. As a Compliance Coordinator, you will play a crucial role in ensuring the smooth operation of our compliance processes.

Key Responsibilities:
  • Manage and Update Internal Systems: Ensure that our internal CAFM systems are up-to-date and functioning correctly.
  • Email Management: Monitor and manage email accounts to ensure timely communication with stakeholders.
  • Liaise with Sub-Contractors: Work closely with sub-contractors to ensure services are booked in and received on time.
  • Compliance Documentation: Review and upload compliance documentation into SharePoint storage and CAFM system.
  • Reporting and Analysis: Provide information for compliance reporting to IKEA and Arcus Regional Management.
  • Issue Escalation: Liaise with senior management to escalate issues when required.
  • Contractual Awareness: Maintain awareness of contractual limits to allow maintenance remedial works to progress.
  • Tracker Management: Maintain trackers for financial and operational purposes.
  • SLA Monitoring: Monitor compliance planned maintenance works to ensure works are completed within SLA.
  • Purchase Orders: Raise purchase orders for subcontractors and materials.
  • Compliance Queries: Deal with compliance-related queries.
  • Task Management: Manage overdue compliance tasks.
Requirements:
  • GCSE in Maths and English: A GCSE in Maths and English is required.
  • Experience in Facilities Management: Experience within a Facilities Management and compliance environment is desirable.
  • Technical Skills: Strong Excel skills with experience of other MS Office applications, such as Word and Outlook.
  • CAFM Systems: Experience of using CAFM systems is desirable.
  • Soft Skills: Self-motivated, self-disciplined with strong time management skills, ability to work under pressure in a fast-paced environment, strong planning, analytical and organizational skills, confidence to deal with stakeholders at all levels, ability to prioritize and manage conflicting deadlines, a team player with strong interpersonal skills, ability to communicate effectively with a wide range of people both verbally and in writing, high level of attention to detail with the confidence to question information.
