Are you ready to take on the challenge of being our new Executive Assistant at IELTS UK Services?

In this pivotal role, you will collaborate closely with senior management, including the General Manager and Business Support Manager, to enhance and professionalize the organization's enabling services. Your contributions will be vital in supporting a wide array of business support functions, allowing key personnel to concentrate on essential operations. You will play a significant role in ensuring adherence to procedures that facilitate governance within this intricate multi-partner organization.

Your responsibilities will include overseeing the seamless daily operations of the IELTS office environment by implementing and maintaining effective processes and procedures. This will ensure that the entire team can operate as efficiently as possible. Additionally, you will administer and facilitate the effective functioning of key governance forums, processes, and the senior team at IELTS UK.

This senior position requires flexibility and a willingness to work outside of standard hours to accommodate various time zones. You will also be expected to undertake additional tasks as assigned by your line manager or other senior members of IELTS UK.

Key Responsibilities of the Executive Assistant...

  • Collaborate with the General Manager, Chair of the IELTS Board, IELTS Executive Committee, and US Board to establish the quarterly Board agenda and ensure timely circulation of all Board documents.
  • Organize and coordinate bi-monthly IELTS Executive Committee meetings, regular sub-committee gatherings, and other ad hoc governance group schedules, including the collection and distribution of supporting materials.
  • Attend governance meetings to take minutes and provide operational support on-site.
  • Maintain logs of decisions, actions, and risks for each meeting, ensuring timely follow-up on action items.
  • Coordinate company events and conferences, offering support to senior management through logistics such as transportation and accommodation arrangements, note-taking, and agenda management.
  • Serve as a central point of contact for inquiries, requests, and information dissemination within IELTS UK and external parties.
  • Prepare letters, presentations, spreadsheets, and reports.
  • Manage documents and databases while maintaining organized filing systems.
  • Facilitate meetings across various organizations within the IELTS partnership.
  • Provide high-quality operational and administrative support to the IELTS UK General Manager and the broader IELTS UK team.
  • Offer additional assistance to the IELTS UK Business Manager as necessary.

The Ideal Candidate Will Possess...

  • Demonstrated experience as a senior administrator, executive assistant, or in a similar capacity.
  • Experience working in a Board or Committee environment.
  • Experience supporting senior management or executives is advantageous.
  • Proficiency in organizing meetings in complex settings, including agenda preparation and minute-taking.
  • Experience engaging with a variety of senior stakeholders.
  • Ability to navigate complex processes and systems.
  • Proven discretion and meticulousness in handling confidential and sensitive information.
  • Exceptional interpersonal skills with the ability to interact professionally with diverse stakeholders.
  • Adaptability and readiness to undertake varied tasks as required.
  • Competence in utilizing IT systems to enhance office efficiency.
  • Proficiency in Microsoft Office applications (Word, PowerPoint, Excel, SharePoint, etc.).
  • A minimum educational qualification of A Levels or equivalent.
  • A business degree or equivalent is desirable.
  • Some project management experience is desirable.
  • Familiarity with the IELTS ecosystem (products, customers, partnerships) is desirable.
