Job Title: Asset Database Coordinator

Job Summary:

The Transformation Unit is seeking a highly organized and detail-oriented Asset Database Coordinator to support the medical equipment contract manager in coordinating the servicing of medical equipment across the Trust. The successful candidate will have strong organizational and planning skills, with experience in using asset management databases and maintaining accurate records.

Main Responsibilities:

  • Act as the main point of contact for end users and maintenance providers to ensure scheduled equipment servicing is booked in and completed on time and according to contract term.
  • Ensure recommendations for remedial work identified following equipment servicing or repair are followed up and fully addressed to ensure continued safe use of medical devices.
  • Record equipment service history and update maintenance records on the Trust asset register.
  • Keep accurate records relating to the comprehensive database of service contracts to facilitate a contract management program.
  • Interpret technical information from medical device service records, seeking advice from the Medical Equipment Management Service (MEMS) where appropriate.
  • Monitor provider performance to ensure that the contractor fulfills their contractual responsibilities.
  • Understand contract terms and conditions to interpret the scope of the contract cover and judge if repair costs are covered within the contract.
  • Participate in equipment audits to verify the medical device asset inventory.
  • Undertake work in accordance with the department quality management system (ISO 13485).
  • Support medical device service and maintenance contracts, ensuring that agreements are in place reflecting the Trust's requirements and in accordance with the Trust's Standing Orders and Standing Financial Instructions.

Requirements:

  • Educated to degree/NVQ Level 6 in a relevant subject, or extensive knowledge, skills, and experience in the field of equipment maintenance and support.
  • Experience of equipment management information systems and databases.
  • Experience of coordinating medical equipment maintenance activities within a healthcare setting.
  • Experience of monitoring equipment maintenance providers.

Skills and Competencies:

  • Working knowledge of all Microsoft Office packages (e.g., word processing, spreadsheets, email, and internet use).
  • Able to negotiate issues of a technical and commercial nature.
