About the Role

We are seeking a highly skilled and experienced Personal Assistant to provide administrative support to our Group Executives, including the CEO, CFO, and MD. The successful candidate will be responsible for managing the Executives' diaries, coordinating meetings, and preparing confidential documents.

The ideal candidate will be proactive, diplomatic, and highly confidential, with excellent communication and organizational skills. They will have a strong understanding of industry-wide issues, strategy, people, and culture, and be able to work independently with minimal supervision.

Key Responsibilities
  • Provide administrative support to the Group Executives, including diary management, inbox management, and scheduling meetings.
  • Undertake key administrative tasks, including confidential document creation and filing, travel and accommodation arrangements, and compiling of expenses and timesheets.
  • Ensure meeting preparation is carried out, including room booking, equipment setup, and material preparation.
  • Provide professional support by preparing and compiling weekly status reports, draft client or Board presentations, and monthly management documents.
  • Implement and maintain an accurate hard and soft copy filing system for Group, ensuring work areas are kept in good order.
  • Coordinate management days, entertainment, and other off-site events.
Requirements
  • Proficient in Microsoft 365.
  • Clear, concise, and effective written and verbal skills.
  • Strong administration skills with the ability to prioritize and organize workload/tasks.
  • Deliver against responsibilities allocated in a timely fashion.
  • Proactive approach to anticipating and dealing with opportunities and challenges on behalf of the Executives.
  • Ability to work independently, take responsibility, and demonstrate initiative.
  • Manage confidential information, ensure it is protected, and received/delivered in the correct manner.
