Job Overview

The successful candidate will join a dedicated team to deliver a professional and effective administrative and reception service within the Operating Theatre environment. This role is dynamic and multi-faceted, often requiring adaptability due to frequent interruptions. Maintaining confidentiality is crucial, as the role involves handling sensitive patient information. Proficiency in IT systems is a necessary skill.

Key Responsibilities

  • Perform reception and clerical tasks collaboratively to ensure a smooth and professional operation at the Reception Desk, engaging with patients and visitors courteously while upholding patient confidentiality.
  • Ensure a clean and organized workspace to promote a professional atmosphere.
  • Manage patient calls for theatre attendance and coordinate bed collection.
  • Handle incoming telephone inquiries, take messages, and address questions appropriately within the role's scope.
  • Responsible for entering electronic patient data related to their journey through the department, including recording times associated with patient events.
  • Oversee the ordering, receiving, and verification of stationery and other designated supplies through E-procurement.
  • Collect and maintain data records and files for procurement purposes.
  • Keep accurate records of ordered items, ensuring accountability and reporting any discrepancies to the relevant personnel.
  • Manage the printing and distribution of the operating list, including updates, cancellations, and emergency patient additions.
  • Ensure that patient notes are prepared well in advance, including labeling and verification processes.
  • When necessary, collaborate across the theatre department within the healthcare facility.
  • Participate in the Trust appraisal system and attend mandatory training sessions.
