Job Summary

We are seeking a highly skilled and experienced Administrative Assistant to provide comprehensive support to our Global Heads in our London Office. As a key member of our administrative team, you will be responsible for delivering exceptional administrative support, ensuring the smooth operation of our office, and providing a high level of service to our senior executives.

Key Responsibilities

  • Calendar Management: Manage complex calendars, coordinate internal and external meetings, and arrange conference calls across multiple time zones.
  • Travel Arrangements: Book travel, accommodations, and airport transfers for our Global Heads, utilizing our internal travel portal.
  • Office Support: Collaborate with our London Office Manager to ensure the efficient operation of our office, including health and safety activities.
  • Relationship Building: Develop strong working relationships with our global administrative team and other stakeholders.
  • Communication: Manage incoming calls, respond to messages, and process visa requests for international business travel.
  • Administrative Tasks: Process expenses, invoices, and PowerPoint presentations, as well as prepare meeting materials and cover reception duties during lunchtime and holidays.

Requirements

  • Experience: A minimum of 4 years of experience in a Team Assistant or PA support role within a corporate, financial services, or professional services firm.
  • Skills: Excellent administrative skills, strong attention to detail, flexibility, and a positive attitude. Proficiency in MS Office and Outlook, with good general office administration skills.
  • Qualities: Self-motivated, proactive, and able to problem-solve, with excellent communication skills and a high level of professionalism.
