About the Role

We are seeking an experienced and skilled Assistant Service Manager to join our team at Oxford University Hospitals NHS Foundation Trust. As a key member of our Specialist Surgery Directorate, you will play a vital role in ensuring the smooth delivery of patient access and administration services.

Key Responsibilities
  • Work closely with services to identify and improve processes to enhance data quality and reduce referral-to-treatment (RTT) times.
  • Maintain overall responsibility for the day-to-day management of the service, including patient pathway management and data validation.
  • Take the lead on new access and booking initiatives within the Directorate, developing action plans and implementation strategies.
  • Act as the service expert in relation to the Trust Elective Access policy, creating and delivering efficient and effective processes for the administration pathway.
  • Work with services to ensure the e-Referral system (eRS) is up-to-date and Appointment Slot Issues (ASI) are addressed.
  • Be the Departmental Point Person for authorisation of clinic templates and submission of clinic templates as necessary.
  • Work within services to ensure clinics and theatres are utilised to maximum capacity.
  • Carry out validation for key targets, including cancellations and diagnostic waits, to support the service in delivering against other supporting targets.
  • Provide information and reports to support analysis of directorate performance and work with the Deputy Operational Services Manager and Service Managers on performance improvement plans.
  • Work with the Clinical Coding Team and Services to ensure all patient episodes are appropriately coded and captured.
  • Work with services to ensure all activity is captured and recorded, including checking in and out of outpatient appointments and maximising income capture.
  • Train staff in the understanding of the Trust Elective Access Policy and rules and guidance for RTT.
