About the Role

We are seeking an experienced and skilled Service Manager to join our team at Oxford University Hospitals NHS Foundation Trust. As Assistant Service Manager - Patient Access, you will play a vital role in ensuring the smooth delivery of patient access targets within our Directorate.

Key Responsibilities
  • Work closely with services to identify and improve processes to enhance data quality and reduce referral-to-treatment (RTT) times.
  • Maintain overall responsibility for the day-to-day management of the service, including the Patient Tracking List (PTL), and collaborate with Service Managers and Deputy Operational Services Managers to ensure the patient pathway is managed in accordance with the Trust Elective Access Policy.
  • Take the lead on new access and booking initiatives within the Directorate, working with services and staff to develop action plans and implementation strategies.
  • Act as the service expert in relation to the Trust Elective Access policy and the creation and delivery of efficient and effective processes for the administration pathway for patient care.
  • Work with services to ensure the e-Referral system (eRS) is up-to-date and that any Appointment Slot Issues (ASI) are addressed, with patients added to the ASI list being contacted in a timely manner.
  • Be the Departmental Point Person for authorizing clinic templates and submitting them as necessary.
  • Work within services to ensure clinics and theatres are utilized to maximum capacity.
  • Carry out validation for other key targets, including cancellations and diagnostic waits, to support the service in delivering against other supporting targets.
  • Provide information and reports to support the analysis of directorate performance and work with Deputy Operational Services Managers and Service Managers on performance improvement plans as required.
  • Collaborate with the Clinical Coding Team and Services to ensure all patient episodes are appropriately coded and captured.
  • Work with services to ensure all activity is captured and recorded, including the checking in and out of all outpatient appointments, closing down of clinics, and maximization of income capture within services.
  • Train staff in the understanding of the Trust Elective Access Policy and rules and guidance for RTT.
