The Coordinator will be responsible for the overall success of the project and will manage daily operations, which includes resource acquisition and team coordination to fulfill project commitments effectively.

Key Responsibilities:

Initial Assessment

  • Act as a liaison for the Implementation Team during pre-sales and contract negotiations, preparing necessary project management documentation.
  • Conduct site visits with the Sales team to gather insights through surveys and customer discussions.
  • Evaluate the prospective customer's capabilities and project team to ensure they can meet contractual obligations efficiently.
  • Prepare the InterSystems team for customer engagement through introductory sessions.
  • Contribute to the documentation process, reviewing proposals and drafting implementation plans for inclusion in contracts.
  • Assess integration requirements for third-party devices and systems.
  • Collaborate with senior management and stakeholders to define project scope, objectives, and deliverables.
  • Initiate project activities in partnership with the customer.

Project Launch

  • Lead the assigned InterSystems project team, fostering accountability and proactive engagement.
  • Manage project processes, including the ongoing monitoring of the Project Implementation Document (PID) and adherence to contractual obligations.
    • Develop a comprehensive Project Implementation Plan.
    • Collaborate with customers to maintain an updated Detailed Project Implementation Plan.
    • Ensure resource planning is current throughout the project lifecycle.
    • Create a Requirements Traceability Matrix to confirm all contracted requirements are met and approved for Go Live.
    • Maintain a Risk Register and develop Quality, Communication, and Business Continuity plans as necessary.
    • Ensure project costs are accurately tracked using InterSystems systems.
    • Report any risks or issues to the Head of Projects through established review processes.
  • Provide regular status updates and participate in Project Boards throughout the project lifecycle.
  • Collaborate with the customer Project Manager to finalize the End Stage report for Board approval.

Project Setup

  • Generate Change Control Notes (CCNs) to manage any proposed changes to project scope.
  • Identify and mitigate key project risks, issues, assumptions, and dependencies.
  • Closely monitor project timelines with the customer Project Manager and take corrective actions as needed.
  • Ensure proper setup and validation of solutions.
  • Organize Readiness Assessment meetings and communicate outcomes with the customer Project Manager.
  • Prepare the End Stage report for customer Project Manager approval.

Project Adoption

  • Verify that customer process definitions and testing are adequate for a successful Go-Live.
  • Ensure all customer staff trained by InterSystems meet satisfactory training levels.
  • Facilitate the introduction of InterSystems support staff to the customer.
  • Conduct Go-Live readiness assessments and share results with the customer Project Manager.
  • Lead activities during the cutover period in collaboration with the customer.

Project Sustainability

  • Compile the Project Closure Report, including Lessons Learned.
  • Contribute to the broader InterSystems Project Management team by identifying and implementing business improvements.
  • Prepare for any post Go-Live implementation tasks with Service Management.
  • Ensure a smooth handover to the InterSystems Service Manager.
  • Support the integration of new modules into the live customer environment.

Skills and Experience:

  • Proven experience in project management within healthcare organizations, preferably with integrated solutions.
  • Comprehensive understanding of the full project lifecycle from initiation to closure.
  • Direct healthcare experience or a minimum of 3 years working with Health Information Systems (HIS) is highly desirable.
  • Strong background in resource management, budgeting, and forecasting.
  • Experience leading diverse teams and communicating effectively across all organizational levels.
  • Familiarity with managing contracts, including third-party agreements.
  • Experience with large, fixed-price projects in various sectors.
  • Knowledge of software development processes and enterprise-level technical architectures is advantageous.

Education & Training:

  • A university degree or over 10 years of experience managing complex projects, preferably in healthcare IT.
  • Technical proficiency in software and implementation methodologies.
  • Project Management certifications such as Prince2, PMP, or PMI are beneficial.
  • Senior management training is preferred.
