The Opportunity
We are seeking an experienced Administrative Support Specialist to join our laboratory team in Truro. As a key member of our team, you will be responsible for providing administrative support to our laboratory operations.
Key Responsibilities
- Administrative Support
- Answering incoming calls, transferring calls, and taking messages as needed.
- Meeting and greeting visitors.
- Arranging departmental meetings, room bookings, and minute taking.
- Procurement and Inventory Management
- Monitoring and maintaining the firm's purchase order system.
- Assisting with travel arrangements for directors and technical staff.
- Assisting with the management of project and proposal deliverables, including report preparation, formatting, compilation, and printing.
- Stock Control and Laboratory Operations
- Implementing and maintaining a stock control system.
- Undertaking routine stock checks and managing stock levels of laboratory consumables.
- Procuring supplies.
- Health and Safety
- Implementing and maintaining a system for arranging couriers and postal services for sample shipments.
- Implementing and maintaining a system for health and safety documents, such as risk assessments, safe systems of work, and training matrices.
- Communication and Collaboration
- Liaising with and supporting the project support manager and office manager as required.
- Updating analytical QA/QC records.
- Assisting in the development and maintenance of laboratory QA/QC procedures.
- General Administration
- Filing and archiving.
- General housekeeping duties.
Requirements
- Extensive administration experience, including formatting reports, minute taking, raising purchase orders, and arranging stock supplies.
- Excellent numerical and MS Word & Excel skills.
- Good interpersonal and communication skills.
- High level of accuracy, diligence, and good attention to detail.
- Ability to work efficiently and coordinate with a team.
- Flexible approach to work.
