The Opportunity

We are seeking an experienced Administrative Support Specialist to join our laboratory team in Truro. As a key member of our team, you will be responsible for providing administrative support to our laboratory operations.

Key Responsibilities

  • Administrative Support
    • Answering incoming calls, transferring calls, and taking messages as needed.
    • Meeting and greeting visitors.
    • Arranging departmental meetings, room bookings, and minute taking.
  • Procurement and Inventory Management
    • Monitoring and maintaining the firm's purchase order system.
    • Assisting with travel arrangements for directors and technical staff.
    • Assisting with the management of project and proposal deliverables, including report preparation, formatting, compilation, and printing.
  • Stock Control and Laboratory Operations
    • Implementing and maintaining a stock control system.
    • Undertaking routine stock checks and managing stock levels of laboratory consumables.
    • Procuring supplies.
  • Health and Safety
    • Implementing and maintaining a system for arranging couriers and postal services for sample shipments.
    • Implementing and maintaining a system for health and safety documents, such as risk assessments, safe systems of work, and training matrices.
  • Communication and Collaboration
    • Liaising with and supporting the project support manager and office manager as required.
    • Updating analytical QA/QC records.
    • Assisting in the development and maintenance of laboratory QA/QC procedures.
  • General Administration
    • Filing and archiving.
    • General housekeeping duties.

Requirements

  • Extensive administration experience, including formatting reports, minute taking, raising purchase orders, and arranging stock supplies.
  • Excellent numerical and MS Word & Excel skills.
  • Good interpersonal and communication skills.
  • High level of accuracy, diligence, and good attention to detail.
  • Ability to work efficiently and coordinate with a team.
  • Flexible approach to work.
