Job Purpose

As a Senior Admissions Officer, you will lead a team of Admissions Officers in managing admissions processes from application to enrolment for various programmes or applicant cohorts. You will develop processes to ensure a leading applicant experience and excellent customer service. With approximately 100,000 applicants annually, you will line manage team members to execute initial application assessments, selection processes, decision making, and recording in line with institutional policy and legislative parameters.

Main Duties and Responsibilities
  1. Lead a team of Admissions Officers in a high-volume, high-pressure environment, including responsibility for workload management, training, and development.
  2. Ensure team members have access to tools and documented processes aligned with Admissions requirements, legislative compliance, and excellent customer service.
  3. Deliver training and manage team members to execute all processes related to the applicant journey, including initial assessment, selection, decision processing, and confirmation processes.
  4. Support the Enquiry Team Lead in responding to applicant enquiries, including unsuccessful applicant feedback requests or complaints.
  5. Develop and maintain operational reporting tools to assess process efficiency against key performance indicators and inform internal stakeholders about Admissions progress and future developments.
  6. Support the creation and implementation of key performance indicators and service level agreements for decision turnarounds for uncapped programmes and applicant cohorts.
  7. Design and develop selection and review processes to ensure decision processing meets applicant cohort and programme targets and caps.
  8. Operational lead for core processes with high impact to recruitment, including UKVI Compliance and Fee Status Assessment.
  9. Support the Admissions Operations Manager in managing technical tools and systems required for Admissions processes.
  10. Support operational Admissions processes to maintain turnaround times during high volumes.
  11. Support the Head of Admissions in developing and implementing systems and process enhancements, new products, or significant changes.
  12. Develop and manage relationships with key internal stakeholders in relevant Schools and Colleges.
Knowledge, Qualifications, Skills, and Experience

Essential:

  • A1: Ability to demonstrate competencies required for this level of post, acquired through similar experience or qualifications.
  • A2: Knowledge of pre-HE and HE qualification frameworks in key recruitment markets.
  • A3: Knowledge of legislation and compliance parameters governing Admissions practice and policy.
  • A4: Knowledge of the HE sector and detailed understanding of legislative and compliance parameters governing HE Admissions.

Desirable:

  • D1: Management skills and ability to manage sickness absence, recruitment, staff wellbeing, performance, training, and development.
Experience

Essential:

  • E1: Experience managing or supervising a team of professionals in a high-pressure, high-volume environment.
  • E2: Experience designing and delivering bespoke training materials covering all aspects of Admissions processes.
  • E3: Experience liaising with Higher Education professionals, including Academic colleagues.
  • E4: Experience in a Higher Education setting with high-volume processing and tight deadlines, preferably within University Admissions.

Desirable:

  • F1: Experience managing systems and processes in a high-volume Admissions environment.
  • F2: Specific experience with tools used in UofG Admissions: Oracle Campus Solutions, Oracle Apex, Advanced Excel, Microsoft Teams.
Terms and Conditions

Salary: Grade 6, £32,332 - £36,024 per annum. Full-time (35 hours p/w) and open-ended. Relocation assistance will be provided where appropriate.
