Position Overview
We are experiencing significant growth, currently employing 150 individuals, and are seeking an Executive Assistant to the CEO to join our dynamic team and provide essential support to the CEO, their office, and the Board of Directors.
Key Responsibilities
- Delivering advanced calendar management for the CEO, prioritizing requests and inquiries while resolving scheduling conflicts; making informed decisions to ensure an efficient daily agenda.
- Coordinating travel arrangements and accommodations for the CEO, as well as managing expense reports.
- Executing a variety of tasks that facilitate the CEO's leadership capabilities, including assisting with research initiatives, generating reports and presentations, and preparing meeting agendas and other necessary documents.
- Maintaining close communication with the CEO to keep them informed of upcoming obligations and responsibilities, ensuring appropriate follow-ups. Anticipating the CEO's needs ahead of meetings and events.
- Serving as a 'gateway' to the CEO and their office, ensuring effective communication between the CEO and team members, while fostering credibility and trust with the Senior Executive Team [SET].
- Providing administrative assistance to the Chair and Board of Directors, which includes scheduling meetings, taking minutes, and managing the distribution of Board materials.
- Assisting in the preparation of CEO correspondence for internal communications, Board meetings, and events in collaboration with the Chief of Staff and the Marketing and Communications team [MarComs].
- Conserving the CEO's time by gathering, researching, and analyzing information as required.
- Addressing ad hoc requests as necessary, including personal or family-related matters.
Qualifications
- Minimum of 2 years of executive support experience, specifically with C-suite executives in one-on-one or team settings.
- Proficient in Microsoft Office Suite [Outlook, Word, Excel, PowerPoint].
- Exceptional verbal and written communication skills, capable of engaging with senior internal contacts and client stakeholders at a high standard.
- Outstanding organizational abilities and meticulous attention to detail, with the capacity to prioritize tasks effectively.
- Ability to work independently and confidentially, demonstrating a high level of professionalism.
- Capability to respond promptly to urgent situations requiring quick decision-making regarding priorities.
- Strong integrity and discretion in managing confidential information.
- Proven time management skills, with a history of meeting deadlines in a fast-paced environment.
- High cognitive flexibility, comfortable transitioning between strategic and operational tasks.
