Job Summary:

Avocet Legal Careers & Avocet Commercial Careers is seeking a highly organized and detail-oriented Conveyancing Administrator to join their team. As a key member of the Conveyancing team, you will be responsible for providing administrative support to conveyancers and ensuring the smooth operation of the department.

Key Responsibilities:

  • Client Communication: Act as the primary point of contact for client inquiries, providing exceptional customer service and ensuring timely responses to client requests.
  • Matter Setup: Manage initial matter setup procedures, including producing instruction letters and updating central records, to ensure accurate and efficient matter setup.
  • Administrative Support: Provide administrative support to conveyancers, including preparing documents, managing files, and maintaining accurate records.
  • Quality Assurance: Ensure compliance with quality service standards for all matters, maintaining high levels of accuracy and attention to detail.
  • Due Diligence: Conduct due diligence to comply with Anti-Money Laundering Regulations, ensuring the company's compliance with regulatory requirements.
  • Client Enquiries: Handle routine client telephone enquiries and gather necessary information for file opening requirements, providing a seamless client experience.

Requirements:

  • Administrative Experience: Prior experience in an administrative function, with property transaction experience being beneficial but not essential.
  • Organizational Skills: Strong ability to manage multiple tasks simultaneously, prioritizing tasks and meeting deadlines.
  • Quality Focus: Commitment to working within a quality standard environment, maintaining high levels of accuracy and attention to detail.
  • IT Skills: Excellent IT skills, with the ability to quickly adapt to new systems and technology.
  • Teamwork: Strong teamwork skills and collaborative attitude, working effectively with colleagues to achieve departmental goals.
  • Availability: Availability to work in the office daily, with flexibility to adapt to changing departmental needs.
