Job Overview

The successful candidate will be an integral part of the Global Opportunities team, tasked with overseeing the administration of the University’s International Exchange, Study Abroad, and short-term mobility initiatives.

This role involves collaboration with the Senior Exchange Coordinator and a dedicated team of Exchange Coordinators to manage these programs, along with associated funding opportunities, while providing support to both inbound and outbound students throughout their international experiences.

Key Responsibilities 1.

Ensure the effective implementation of procedures for all facets of International Exchange, Study Abroad, and short-term mobility programs, from initial inquiries and application processing to ongoing support and final documentation.

This includes identifying and resolving issues, serving as the primary contact for key stakeholders, including students and partner institutions.

Organize and coordinate essential administrative tasks such as course enrollment for visiting students, nominations to and from partner institutions, and the application processes for both inbound and outbound students.

This requires managing extensive data and documentation, collaborating with key internal and external stakeholders, and generating timely communications to students.

3.

Provide expert guidance and information to prospective students, staff, and international partners on various topics, including:

Processes and procedures related to International Exchange, Study Abroad, and short-term mobility programs, course descriptions, requirements, accommodation, orientation, funding, welfare, and other relevant information regarding students' experiences abroad.

4.

Act as a non-academic advisor to visiting students on campus, specifically overseeing their course selections and enrollment at the beginning of each academic term.

Maintain regular communication with students and direct them to appropriate departments/services for any requests, including pastoral support and referrals to other support services.

5.

Engage regularly with subject coordinators and administrative departments, such as Registry, Accommodation, and Student Disability Services, concerning general and academic matters for visiting students or those studying abroad.

6.

Facilitate the prompt processing of final grades in the form of transcripts for all visiting students at the conclusion of their study period; ensure transcripts are uploaded to Student Records upon students' return.

7.

Maintain accurate records regarding short-term exchanges and Study Abroad programs in accordance with University and external standards; conduct queries on exchange and application statistics to support performance analysis for university reporting and external funding bodies.

8.

Assist in delivering a comprehensive Orientation program for visiting students biannually, along with other on-campus events throughout the year.

9.

Participate in and occasionally coordinate visits from international partners, including identifying key staff members to engage in the visit and preparing a suitable agenda.

10.

Support the internal exchange partnership proposal process by gathering necessary information and liaising with relevant parties to ensure timely progression of proposals.

11.

Update program information on various platforms as directed, including social media, the university website, and internal databases.

12.

Where applicable, supervise the activities of interns and student ambassadors, delegating tasks and monitoring their progress and performance.

Required Knowledge, Qualifications, Skills, and Experience

Essential:

A1: A qualification at Scottish Credit & Qualification Framework level 7 (Advanced Higher/SVQ level 3, HNC) or equivalent, or demonstrable competencies acquired through relevant experience.

A2: Understanding of health and safety policies and quality standards relevant to the role.

Desirable:

B1: Familiarity with the University of Glasgow or other UK or International Higher Education systems.

B2: Knowledge of student admissions and mobility processes.

Essential Skills:

C1: Proficient IT and numeracy skills, including advanced MS Office capabilities.

C2: Ability to analyze data and present summary information effectively for planning and decision-making.

C3: Strong organizational skills to manage a variety of complex tasks efficiently.

C4: Attention to detail in administering complex processes subject to scrutiny.

C5: Initiative and judgment to independently resolve issues.

C6: Capability to supervise interns and student ambassadors, ensuring effective delegation and monitoring.

C7: Excellent communication skills, both oral and written, to facilitate effective reporting and customer service.

C8: Ability to engage with diverse stakeholders at various levels.

Desirable Skills:

D1: Advanced spreadsheet skills for data manipulation and presentation.

D2: Proficiency in preparing and delivering presentations.

Essential Experience:

E1: Experience with various software, database management, and spreadsheet analysis.

E2: Background in a professional office environment.

E3: Experience working collaboratively within a team.

Desirable Experience:

F1: Familiarity with the MyCampus System, particularly in Admissions and Student Records.

F2: Experience in higher education environments, especially in Admissions or Student Mobility.

F3: Experience in staff supervision.

Terms and Conditions

Salary will be Grade 5, with a competitive annual salary range.

This position is full-time and fixed-term.
