This practice operates across two locations, delivering care to a patient population of 13,000.

The successful candidate will be tasked with a variety of reception and administrative responsibilities essential for the smooth operation of the reception area. This role serves as a vital point of contact for patients, caregivers, and family members, ensuring effective communication between the clinical and administrative teams.

The Healthcare Reception Coordinator will provide patients with the necessary information to make informed decisions regarding their care, including guidance to local services. Additionally, administrative support will be extended to the clinical, administrative, and management teams.

Main Responsibilities

  • Welcome patients in a professional and courteous manner, ensuring they receive the information needed to make informed choices about their care.
  • Act as a care navigator, directing patients to the most suitable services that meet their needs.
  • Oversee the appointment system to ensure it operates smoothly, informing patients of any delays or emergencies involving clinical staff.
  • Manage emergency situations at the reception and prioritize patients on the appointment system for urgent clinician assessment as necessary.
  • Handle requests for home visits, nursing home visits, and recovery bed visits.
  • Inform patients about applicable charges for non-NHS services, process payments, and issue receipts.
  • Register new patients and ensure they receive all necessary registration materials.
  • Assist with the cancellation and rescheduling of appointments as directed by management or nursing staff.
  • Schedule nursing appointments according to established templates and skill matrices to ensure accurate bookings.
  • Promote and facilitate patient registration for online services.
  • Manage visitor interactions at the practice, logging entries, issuing visitor passes, and notifying staff members of their arrival.
  • Maintain adequate supplies for the reception and clinical areas, including bags, prescription pads, and stationery.
  • Ensure the reception waiting area and external notice boards are kept up to date with relevant information and notices.

About Our Practice

Our practice operates across two sites, providing care to a diverse patient population and is part of the Crossgates Primary Care Network. As a Healthcare Reception Coordinator, you will collaborate with a team of 15 receptionists and administrative personnel, alongside a broader clinical team that includes doctors, nurses, healthcare assistants, and pharmacists.

Key Competencies

  • Support the clinical team in guiding patients to appropriate health services.
  • Contribute to service enhancements related to public health initiatives, including screenings and immunizations.
  • Refer patients to relevant statutory and voluntary organizations as needed.
  • Work collaboratively with other agencies to meet the needs of patients and caregivers.
  • Manage your time and workload effectively to promote quality service delivery.
  • Maintain accurate records of patient interactions in compliance with relevant legislation and practice policies.
  • Participate in quality improvement initiatives and audits to enhance service delivery.
  • Communicate sensitively with patients and their families, especially in challenging situations.
  • Foster a culture of teamwork and support among colleagues.
  • Adhere to health and safety policies, ensuring a clean and safe working environment.

Qualifications

Essential:

  • Educated to GCSE level or equivalent.
  • Experience in a customer-facing role.
  • Prior experience in receptionist duties.

Desirable:

  • Experience in a healthcare setting.
  • Familiarity with clinical systems such as System One or EMIS.
