About the Role

We are seeking a highly skilled and experienced Administrative Supervisor to join our Urology Department at Gloucestershire Hospitals NHS Foundation Trust. As a key member of our team, you will be responsible for supervising the provision of an efficient Urology admissions and secretarial team.

Key Responsibilities
  • Supervise and manage a team of staff, including secretaries, admission coordinators, and administrative assistants.
  • Ensure the right task is undertaken by the right resource and provide appropriate training.
  • Support the Lead Coordinator and general management team in delivering two-week wait targets, 18-week waiting times, and diagnostic targets for Urology.
  • Provide administration support to enable provision of patient care.
  • Develop and maintain effective relationships with patients, relatives, general practitioners, and other hospital staff.
  • Manage sickness absence and ensure effective staff utilization.
  • Apply HR policies and procedures, take first-line disciplinary action, and participate in the recruitment process.
  • Conduct annual staff appraisals and provide training, education, and development opportunities.
Requirements
  • GCSE grade C or above (or equivalent) in literacy and numeracy.
  • Substantial experience in a hospital or office environment.
  • IT experience of Microsoft Office packages.
  • Excellent professional telephone manner and communication skills.
  • Proven organizational skills with the ability to prioritize workload and work to deadlines.
  • Good written and verbal communication skills with a good command and understanding of English, punctuation, and grammar.
  • Ability to work flexibly within a team and use own judgment and initiative as appropriate.
  • Sound team building and leadership skills, including the ability to train, guide, persuade, encourage, and motivate.
  • Sound understanding of Human Resources policies.
Person Specification
  • Essential:
    • GCSE level - Minimum Grade C in Maths and English.
    • Experience of Microsoft Office, including Outlook, Word, Excel, and PowerPoint.
    • Medical Secretary Diploma or equivalent experience.
  • Desirable:
    • Knowledge of HR policies.
    • Experience of managing a waiting list.
