Key Responsibilities:

  • Accurately process engineers' timesheets to ensure timely invoicing and payroll calculations.
  • Oversee inventory levels and initiate orders for necessary supplies, seeking discounts and cost efficiencies whenever feasible.
  • Generate supplier purchase orders while adhering to budgetary guidelines, ensuring that procurement stays within financial limits.
  • Handle order processing in accordance with our goods receipt procedures, ensuring precise alignment of purchase orders, delivery notes, and invoices.
  • Manage the return of parts, including generating return notes and confirming receipt of credit notes.
  • Liaise with the Operations Team regarding the arrival of parts or any potential sourcing challenges for projects and engineers.
  • Initiate new projects and sales orders, collaborating closely with the Sales team to guarantee accurate delivery documentation and project records.
  • Perform system administration duties, including updating information related to customers, projects, suppliers, and inventory.
  • Cultivate supplier relationships, including establishing credit accounts and conducting performance evaluations.
  • Stay informed about the company's Health, Safety, and Environmental (HSE) policies, reporting any breaches and assisting with the annual servicing of HSE equipment and personal protective equipment (PPE).
  • Distribute inquiries to the relevant sales manager and maintain the Enquiry Spreadsheet.
  • Remain knowledgeable about all ISO processes and ensure compliance in daily operations.
  • Undertake additional responsibilities as assigned by management, including participation in industry events and other Sales and Marketing initiatives.

Qualifications:

  • Demonstrated experience in an administrative support capacity.
  • High proficiency in Microsoft Office Suite.
  • Exceptional organisational and time management abilities.
  • Strong attention to detail.
  • Effective communication and collaboration skills with colleagues at all levels.
  • Familiarity with ISO procedures is advantageous.
