Job Overview

The James McCune Smith (JMS) Scholarship and Development Programme serves as a cornerstone initiative for the University, aimed at addressing the under-representation of Black UK PhD candidates.

The JMS Administrator will deliver comprehensive administrative support to ensure the effective execution of all Programme components, which engage all four Colleges within the University.

The individual in this role will spearhead initiatives that enhance the experience and environment for Scholars, ensuring the Programme aligns with best practices in the academic sector.

With an anticipated cohort of over 50 JMS Scholars, this Programme stands as one of the largest in the UK dedicated to supporting Black students. The JMS Administrator will play a crucial role in fostering the Programme's sustainability and growth.

Key Responsibilities
  1. Providing an efficient administrative service to support JMS Scholars, their supervisors, and programme collaborators.
  2. Overseeing and tracking all JMS applications and coordinating events for potential candidates.
  3. Generating reports and insights on recruitment to guide future strategies, focusing on student engagement and attraction.
  4. Interpreting relevant University policies to offer accurate advice to Scholars and supervisors.
  5. Delivering exceptional service to all JMS scholars, addressing complex inquiries with independent judgment and proactively providing guidance.
  6. Managing JMS student records, including processing financial aid and ensuring data accuracy.
  7. Coordinating JMS Scholar placements, mentoring, networking, and training events.
  8. Collaborating with teams to arrange anti-racism training for supervisors, tracking attendance and completion.
  9. Promoting the programme internally and identifying key contacts for potential mentors.
  10. Exploring external partnerships for mentoring and financial support opportunities.
  11. Working with the Programme Manager and External Relations team to develop a JMS communications strategy for marketing events and online promotion.
  12. Producing regular management information, including programme evaluations and financial reports, to support informed decision-making.
  13. Assisting in the organization of a high-profile annual conference, including marketing and liaising with speakers.
  14. Providing administrative support for the JMS Steering Board, including minute-taking and action tracking.
  15. Contributing to continuous improvement by identifying and implementing process enhancements to elevate the Scholar experience.
  16. Maintaining the JMS webpages to ensure accurate and up-to-date information for prospective applicants and current students.

In collaboration with the External Relations team, developing a new website to support the student community and create engaging social media content to attract prospective students.

Required Knowledge, Qualifications, Skills, and Experience

Essential Knowledge/Qualifications:

  • Demonstrated competencies for the role through relevant experience or equivalent qualifications.
  • Scottish Credit and Qualification Framework level 7 or equivalent, with experience in a similar role.

Essential Skills:

  • Strong organizational, time management, and planning abilities.
  • Excellent interpersonal and communication skills, with a focus on diplomacy and discretion.
  • Ability to work independently and proactively, resolving issues effectively.
  • Team-oriented mindset with a commitment to delivering excellent support.
  • Proficiency in Microsoft Office and other relevant software.
  • Strong analytical and problem-solving capabilities.

Essential Experience:

  • Experience in customer service, effectively addressing diverse needs.
  • Proven track record of delivering high-quality administrative support.
Terms and Conditions

Salary is set at Grade 5, within the range of £25,138 - £29,605 per annum. This is a full-time position (35 hours per week) on a fixed-term basis.
