Job Title: Transport Administrator

As a key member of our team, you will be responsible for ensuring the smooth operation of our transport services. Your primary focus will be on creating and managing customer consignments, ensuring accuracy and efficiency in all aspects of the process.

Key Responsibilities:
  • Create and check daily customer consignments on our in-house AS400 system, liaising with customers as necessary
  • Ensure all consignments are correctly administered, rated, and ready for invoicing, obtaining rates for new delivery points from our Finance and Reporting Team when required
  • Amend consignment details as needed, communicating changes to relevant parties, including ESL Planning teams and Tesco on-site teams
  • Produce reports, including KPI and other metrics, for customers and ESL, utilizing Microsoft Excel
  • Reconcile work on ESL's GTS system against customer schedules to ensure accurate charging and invoicing at week and period end
  • Liaise with Transport Managers and other on-site team members to ensure data presented to customers is accurate
  • Assist the Admin Team Leader and Data Analyst in providing daily/weekly information required by customers regarding performance, costs, etc.
  • Provide Tesco on-site teams with up-to-date information regarding new Tesco stores, including Risk Assessments, rates, and GTS Location code information
  • Provide general administrative support to the Admin Team Leader and Admin team, as well as other tasks as required
  • Escalate issues to the Admin Team Leader where unable to resolve
  • Complete daily Irish conference calls to agree on trailer requirements
  • Manage Isotrak compliance to ensure all loads from the depot are tracking, and liaise with the planning team/team leader to resolve driver and job errors
  • Liaise with the warehouse to ensure the correct trailers are available to meet demand
  • Complete a daily yard check to comply with safe and legal checks, raising any defects to relevant personnel
Requirements:
  • Previous experience in an administrative role
  • Excellent numeracy, accuracy, and literacy skills
  • Strong communication skills
  • High levels of flexibility, commitment, and motivation
  • Able to use own initiative
  • Capable of meeting specific deadlines
  • Able to cope well in pressured situations
  • Capable of operating with limited supervision within fixed guidelines
  • Able to work as part of a team and individually
