The Events Operations Executive plays a vital role in coordinating Mercia's events, supporting the Event Operations Manager in organizing and planning to ensure each event's success.

As our Events Administrator, your responsibilities will include:

  • Leading our conferences and other events, ensuring timely updates to our Event Operations Manager.
  • Collaborating with various departments to ensure seamless event execution.
  • Planning events according to established guidelines, working with others as necessary.
  • Monitoring event feedback in alignment with our KPIs and addressing any client service issues.
  • Managing relationships with external venue finders.
  • Supporting event logistics and special projects as required.
  • Developing and maintaining long-term business relationships, acting as an advocate and liaison at all levels.
  • Maintaining client data records in the relevant TMS databases.
  • Processing event-related invoices in a timely manner.
  • Coordinating with event speakers regarding schedules, materials, and technical details.
  • Performing administrative tasks such as proofreading and updating marketing materials.
  • Handling accommodation and travel arrangements.
  • Overseeing on-site event operations to ensure smooth execution.
  • Collating data to support event marketing activities.
  • Preparing reports and visuals that demonstrate achievements against KPIs.
  • Playing an active role in implementing the upcoming Training Management Systems.
  • Managing diaries for Mercia's consulting and lecturing staff.
  • Monitoring and resolving cases in Salesforce daily.
  • Leading and managing the calling campaign for each conference to achieve a 70% retention rate.
  • Line management responsibilities, as required.

To excel in this role, you should possess:

  • Intermediate Excel skills with CRM experience.
  • A problem-solving mindset and the ability to take ownership until resolution.
  • Excellent written and verbal communication skills.
  • Outstanding personal organization and time management skills.
  • Experience working across multiple departments in a deadline-driven environment.
  • An analytical and process-oriented mindset.

Preferred Qualifications:
Experience in a similar role and familiarity with Salesforce.
