Executive Support for Diocesan Leadership

The Ely Diocesan Board of Finance (EDBF) seeks a dedicated Executive Assistant to provide comprehensive administrative support to the Diocesan Secretary.
This role is vital in ensuring the smooth operation of the Diocesan Office and supporting the effective functioning of various boards, committees, and councils within the Diocese.
Key Responsibilities- Administrative Excellence: Manage a wide range of administrative tasks, including diary management, correspondence, meeting arrangements, and document preparation.
- Liaison and Coordination: Serve as the primary point of contact for the Diocesan Secretary, liaising with Bishops' offices, Archdeacons' offices, Ely Cathedral, and other key stakeholders.
- Synodical Support: Provide dedicated support to the Diocesan Synod, its Boards, and Committees. This includes agenda planning, venue booking, event management, and hospitality arrangements.
- Governance Administration: Manage the administration of Synodical elections, membership, and committees, ensuring efficient processes and accurate record-keeping.
- Clerical Support: Act as Clerk for the Diocesan Synod, Bishop's Council, and sensitive meetings. Prepare agendas, distribute materials, and produce accurate minutes.
- Team Leadership: Provide guidance and oversight to the Administrative Assistant and Database Officer, conducting performance reviews and fostering a collaborative team environment.
- Data Analysis and Reporting: Analyze data, conduct research, and prepare comprehensive reports as required.
- HR and GDPR Liaison: Work closely with Diocesan HR consultants and GDPR consultants to ensure compliance with relevant regulations and policies.
- Staff Engagement: Organize and administer all-staff events (including Zoom meetings, training sessions, and social gatherings) to promote team cohesion and well-being.
- Record Management: Maintain confidential staff records on BrightHR (electronic staff management system) and coordinate staff appraisals (annual and bi-annual).
- Onboarding Support: Organize the staff induction process for new employees, ensuring a smooth transition into their roles.
- Calendar Management: Develop and maintain the Diocesan calendar, coordinating meetings and events effectively.
