Job Summary

We are seeking a highly organized and proactive Executive Assistant to provide comprehensive support to our CEO, Deputy CEO, and Trustees. The successful candidate will play a crucial role in the smooth operational running of our organization by managing diaries, coordinating travel arrangements, and ensuring effective communication across all levels.

Key Responsibilities
  • Diary Management: Manage and coordinate the CEO's workload, activities, and diary, ensuring priorities are managed and there are no clashes.
  • Travel Coordination: Organize travel and accommodation for the CEO, Deputy CEO, and Trustees within budget and time constraints.
  • Administrative Support: Provide administrative support to the CEO, Deputy CEO, and Trustees, preparing materials for meetings and ensuring follow-ups.
  • Correspondence and Enquiries: Handle correspondence and enquiries to the CEO's office, disseminating information and drafting responses in a timely manner.
  • Expense Processing: Process expenses for the CEO, Deputy CEO, and Trustees in line with financial guidelines.
  • Meeting Support: Take minutes at meetings, including those with Trustees, and maintain accurate records.
  • Departmental Support: Support Department Directors with diary management, prioritizing the CEO's needs.
Requirements
  • Proven Experience: Proven experience in an executive assistant or similar role.
  • Organizational Skills: Exceptional organizational and diary management skills.
