Position Overview:
Totally Recruitment Ltd is currently in search of a skilled Office Coordinator for our client, a reputable firm specializing in Property Security, Maintenance, and Management.

Key Responsibilities:
  • Assisting in the preparation of customer and branch performance metrics.
  • Handling incoming calls and generating job instructions within the order management system.
  • Processing finalized work orders efficiently.
  • Updating client portals with relevant information.
  • Verifying that all written orders received are accurately entered into the order management system.
  • Identifying billable items based on completed tasks.
  • Ensuring compliance with customer pricing structures.
  • Reporting any issues, complaints, or faults to the Operations Manager.
  • Providing administrative support to the Operations Manager, including report preparation and minute-taking.
  • Organizing and maintaining document filing systems to ensure they are current.
  • Assisting with the entry of additional jobs referred from the control desk.
  • Performing any other reasonable tasks to support branch operations.

Required Skills and Experience:
  • Proficient in Microsoft Office applications, particularly Excel.
  • A solid background in administration is essential.
  • Excellent telephone communication skills.

Working Hours:

Standard working hours are Monday to Friday, from 8 AM to 5 PM, with a one-hour unpaid lunch break. This position is temporary to permanent, with a permanent contract available following a successful probationary period.
