Position Overview

The successful candidate will be tasked with delivering exceptional clerical and administrative assistance as part of the Colposcopy Service within the Gynaecology department.

This role is pivotal in ensuring that a thorough and accessible service is provided, adhering to established national standards for Colposcopy, while collaborating closely with the Colposcopy Coordinator.

Key responsibilities include managing patient referrals and scheduling various types of appointments.

The individual will also oversee data entry, ensuring that all information is complete, precise, and accurately recorded in the Colposcopy Database Systems.

Additionally, the role involves providing administrative support to the multidisciplinary team engaged in the operation of the Colposcopy Service across multiple locations, including assistance with the MDT's and inputting MDT outcomes.

Strong interpersonal skills, effective verbal and written communication, and a courteous and professional demeanor are essential for this position.

Core Responsibilities

- Facilitate communication with staff both within and outside the department, maintaining extensive contact with general practitioners, patients, and other relevant external organizations.

- Handle complex and sensitive information with the necessary tact, empathy, and diplomacy.

- Address a high volume of inquiries from both external and internal sources through personal interactions, written correspondence, and telephone communications.

- Exhibit excellent communication skills.

- Collaborate with the CSPL, clinical personnel, and Governance as required.

- Coordinate with external agencies and hospitals to gather reports and information pertinent to patients.

- Accurately register patients' demographic details and record referral information on the Trust's clinical system, managing the flow of referrals through the patient pathway.

- Modify or cancel outpatient appointments for patients via telephone and assist in managing the PTL.

Qualifications and Experience

Essential

  • GCSEs at grade C or above, including English and Mathematics.
