Job Overview

The successful candidates will join the School Operations Team, playing a crucial role in the execution of various administrative, business, and operational functions within the School.

This position entails a variety of secretarial and administrative tasks aimed at supporting the School Executive Team, ensuring they can effectively manage their comprehensive professional and managerial duties, alongside the formulation and execution of essential operational processes.

The role will also serve as a primary point of contact for a diverse range of internal and external stakeholders, aiding in the administration of HR, facilities, and other operational procedures.

Key Responsibilities 1.

Provide comprehensive administrative and business assistance to the School Executive Team, facilitating the management of their extensive professional and managerial obligations.

This includes proactive management of correspondence, calendar coordination, scheduling, and executing administrative and secretarial tasks while addressing inquiries promptly and appropriately.

2.

Coordinate relevant Committee meetings and schedules, ensuring timely planning in collaboration with key contacts.

This will involve offering administrative and secretarial support to the Executive, School Committees, Division Area Staff Meetings, and other meetings as directed by the School Executive member or Operations Manager, working closely with the Chair to prepare and distribute agendas and documents, and to record minutes consistently across the School.

3.

Deliver operational support to the School Executive Team to guarantee the smooth functioning of operational activities within the School.

This includes contributing to the development and implementation of process enhancements and a service catalog for the SPS Operations Team, as well as maintaining service records and information with a strong emphasis on continuous improvement in service quality.

4.

Prepare professional business documents, presentations, reports, and correspondence utilizing standard formats, information from University systems, and other relevant sources, much of which will be confidential and must adhere to strict University records management protocols and applicable General Data Protection Regulations, including proper storage, archiving, and destruction in accordance with established retention schedules.

5.

Act as a representative for both internal and external contacts, taking appropriate initiative to ensure all matters are addressed effectively.

This will involve liaising with stakeholders across the School, College, and University Services, as well as external resources to identify and resolve any service-related issues.

6.

Deliver exceptional customer service to internal and external stakeholders, contributing to the enhancement of the University's international profile in alignment with the University's strategic objectives.

7.

Perform any other reasonable tasks as required by the customer/team and as directed by the Operations Manager.


Required Knowledge, Qualifications, Skills, and Experience Essential Knowledge/Qualifications: A1 Demonstrated ability to fulfill the competencies necessary for this role, having acquired the requisite knowledge and skills in a comparable position, or: A2 A Scottish Credit and Qualification Framework Level 7 (Advanced Higher / Scottish Vocational Qualification Level 3, Higher National Certificate) or equivalent, along with experience in personal development in a similar role.

Desirable: B1 Familiarity with higher education policies and procedures.

Essential Skills: C1 Outstanding planning, prioritization, and organizational abilities.

C2 Capability to develop a variety of written and/or graphical materials such as guidance notes, procedures, briefings, and concise reports.

C4 Proven interpersonal and communication skills (both oral and written).
C5 Ability to work proactively, manage multiple tasks, and utilize initiative to resolve issues.
C6 Competence to work independently as well as collaboratively within a team.
C7 Exceptional attention to detail and the production of accurate, high-quality outputs.
C8 Proficient IT and numeracy skills, particularly in Word and Excel.

Desirable: D1 Understanding and engagement with process improvement principles.

Essential Experience: E1 Demonstrable relevant work experience with qualifications as mentioned above or evidence of progression and development through working in a similar capacity.
E2 Experience in providing business support to senior management within an organization.
E3 Familiarity with minute-taking and document circulation for internal meetings.
E5 Analytical and problem-solving skills. A proactive approach to resolving issues; capable of taking initiative within agreed guidelines.
E6 Ability to operate within a team and independently, organizing and planning work activities with minimal supervision to contribute to the achievement of School objectives.

Desirable: F1 Experience in a higher education environment, including comprehensive knowledge of administrative and organizational systems. Terms and Conditions Salary will be Grade 5, £25,138 - £29,605 per annum. This position is full-time (35 hours per week) and permanent.
