**Job Description - Digital Media Administrator-**

**(Full time, term time, plus 5 inset days, as well as 10 additional days in the holidays)**

**Grade**:5 **Responsible to: Communications Manager & Heads PA**

**1. JOB PURPOSE**:

- To be responsible for the design, management and development of the School’s communication systems and production of school materials to ensure that the
School’s activities are promoted positively to key stakeholders and that the reputation of the School is shown in a positive light.
- To provide an efficient reprographics service for all members of the School staff.

**2. MAIN DUTIES AND RESPONSIBILITIES**

**Design & Production**
- To design and manage the production of School documents and publicity materials eg. floor plans, fire evacuation routes, event posters and tickets, programmes, external banner displays, prospectus, new parent handbook, options booklets, letterheads
- To present information in a creative and appealing way, within the requirements of the School’s branding guidelines
- To edit School photos for the website and bulletin as required
- To edit documents in readiness for print.

**Communication Systems Management**
- To be responsible for the management of the following School Communication systems: Websites, Social Media and others that may be required
- To manage the website content, development and monitor usage. To train School staff on how to add/edit content as required
- To manage the School’s social media activity and monitor social media activity about the School, reporting any issues to the Headteacher in a timely manner
- To provide support in running surveys through Google Forms as required.

**Marketing & Communications**
- To identify opportunities to proactively communicate messages to key stakeholders to promote school activities and lettings business in line with the School’s Communications policy
- To manage the school website and ensure that it is updated daily providing the information that stakeholders want to know in a timely, accurate and accessible manner in compliance with the statutory requirements for school websites
- To manage the school domain names and web hosting
- To manage the school’s social media activity and monitor activity
- To work with members of the SLT and Heads of Faculty to regularly update releases to social media containing news of school events and photographs to build the reputation of the School within the local community; to use the School calendar to plan a schedule of news item/press release opportunities
- To be responsible for the design and production of all school publicity materials e.g. prospectus, advertising, posters
- To be the guardian of the School’s branding guidelines and ensure that these are adhered to in all communications issued by the School
- To ensure that all staff comply with the School’s Communications internal policy
- To produce a regular management report for the Senior Leadership Team and Governors to report on usage of the websites and current media activity on social media sites.

**Reprographics**:

- To ensure copying machines are kept maintained; order toners etc.
- To record meter and usage readings and invoice departments liaising with
Finance
- To undertake reprographics work
- To assist with the duplication of all publicity
- To produce and distribute internal exam papers
- To check paper stationery supplies and order when required.

**Other Specific Duties**:

- To maintain a stock of both main school and Sixth Form prospectuses
- To produce packs for all large mailings
- To maintain paper stationery stocks in both staff rooms
- To update publicity for all productions
- To undertake training and development relevant to the post and in line with school development profile
- As and when required, to manage other projects
- To carry out such other duties as are required and as are commensurate with the grade of the post and as directed by the Headteacher.

**3. QUALIFICATIONS AND EXPERIENCE**

**Essential**:

- Excellent interpersonal skills and ability to successfully work with people
- Excellent knowledge of Microsoft / Google packages
- Experience of Adobe Creative Suite (Photoshop, Illustrator, In Design)
- To be creative
- Competent and accurate keyboard skills
- A good basic education with a minimum of 5 GCSE/O Level passes at Grade 5/C or above, including English Language
- Courteous and friendly manner associated with good customer service
- Ability to work under pressure, work to deadlines and use initiative

**Desirable**:

- At least 12 months experience working in a School environment
- Experience of using Wordpress and Surveymonkey.

**4. Physical Effort**

The post-holder will be expected to undertake bending, stretching and lifting in the course of their duties e.g. accepting stationary deliveries, loading paper into copiers, assisting with distribution of printed literature.
