**Administrative Co -Ordinator**

**What is the role?**

As an Administrative Coordinator for YPMATS (Young People's Assessment and Therapy Services) your primary responsibility is to provide comprehensive administrative support to ensure the smooth functioning of the team. You will play a crucial role in facilitating effective communication, managing schedules, coordinating resources, and assisting with various administrative tasks. Your role is vital in maintaining the team's efficiency.

**What are the key responsibilities?**

**1.** **Team co-ordination**

− Serve as the primary point of contact for internal and external stakeholders, including team members, clients, and other departments.

− Coordinate team meetings, including scheduling, agenda preparation, and documentation of meeting minutes.

− Facilitate effective communication within the team by disseminating information, managing correspondence, and maintaining communication channels.

Foster a collaborative and supportive team environment by promoting effective teamwork and resolving conflicts, if necessary

**2.** **Administrative support**

− Manage and maintain the team's calendar, including scheduling appointments, sessions, and meetings.

− Coordinate the intake process for new young people, including gathering relevant information and scheduling initial appointments.

− Assist in maintaining accurate and up-to-date client records, ensuring confidentiality and compliance with relevant privacy regulations.

− Help with billing and invoicing processes, ensuring accuracy and timeliness.

− Prepare and distribute reports, presentations, and other documentation as required.

Coordinate and manage the team's administrative systems and databases, ensuring data integrity and accessibility.

**3. Resource Management**

− Assist in coordinating and managing the team's resources, including office supplies, equipment, and inventory.

− Support the procurement process by liaising with vendors, obtaining price quotes, and placing orders within budgetary constraints.

− Collaborate with relevant departments to ensure adequate support services, such as IT, facilities, and HR, are available to the team.

**4. Quality assurance**

− Contribute to the continuous improvement of administrative processes and workflows, identifying areas for streamlining and implementing efficiency measures.

− Adhere to organisational policies and procedures, as well as relevant legal and ethical guidelines.

− Maintain a high level of professionalism, confidentiality, and sensitivity in handling sensitive and confidential information.

**What Skills do I require?**

− Must have strong organisation and administration skills.

− Must be adept at problem-solving, including being able to identify issues and resolve programs in a timely manner.

− Must possess strong interpersonal skills.

− Must be able to communicate clearly (written and orally) with colleagues at all levels.

− Must be able to effectively read and interpret information, present numerical data in a resourceful manner, and skilfully gather and analyse information.

− Must be able to prioritise and plan work activities as to use time efficiently and have the ability to multitask and adapt in a fast-paced environment.

− Must be organised, accurate, thorough, with good attention to detail and able to monitor work for quality.

− Works well under pressure and meets tight deadlines.

− Be patient, sensitive, tactful, diplomatic, and approachable.

− Be able to remain calm in difficult situations.

− Respect the importance of confidentiality and discretion.

− Be able to work as part of a team.

− Be highly computer literate with capability in MS Office packages and related business and communication tools.

Any other duties as reasonable assigned to you.

**Salary**: £11.58 per hour
