**Main duties & responsibilities**:

- **Answering incoming calls and transfer to the relevant person/department politely & efficiently, take messages where appropriate.**:

- **Ensure reception area is kept clean & clear of clutter.**:

- **Welcoming visitors, ensure visitors book is completed, visitors badges are issued and returned.**:

- **Fire Drill procedures for visitors’ safety.**:

- **Management & inspection of pool cars.**:

- **Distribution of incoming mail/parcel deliveries and management of outgoing mail.**:

- **Manage Purchase Ledger mailbox - printing invoices/statements, notify PL team of any messages that require action.**:

- **Daily filing of goods received notes & matching to invoices.**:

- **Daily filing of posted invoices.**:

- **Checking employee mileage forms for accuracy & completeness and comparison to odometer reading.**:

- **Manage employee expenses mailbox, scan Barclaycard statements.**:

- **Adhoc document scanning as required - Customer quotes/orders, proof of delivery etc.**:

- **Provide holiday cover & support at busy periods for finance tasks that are within the skill set of this role.**:

- **Other adhoc duties & projects as required.**:

- **Follow all Quality Control guidelines set by the Company.**:

- **Follow the requirements of the Company’s ISO Procedure.**:

- **Follow the Company’s Health and Safety Policy, work instructions & safe systems of work.**:
**Post Requirements**:

- **Previous demonstrable experience in a similar role is required.**:

- **VOIP switchboard experience desirable.**:

- **Pleasant telephone manner & welcoming nature.**:

- **Able to work under own initiative with minimum supervision, organised and able to manage own workload.**:

- **Excellent attention to detail with a curiosity to understand the wider business.**:

- **Must be proficient in Microsoft Outlook, Word and Excel.**:

- **Excellent communication skills both written & oral.**:
