A fantastic opportunity has arisen to join the multidisciplinary Occupational Health team as a part-time Senior Occupational Health Administrator. The Oxford Health NHS Foundation Trusts Occupational Health team plays a pivotal role in the health and wellbeing of all our colleagues. It is a friendly and supportive multidisciplinary team committed to caring in a safe and excellent way to help achieve the ambition to be the best place to work.

This is a very busy and dynamic role that requires someone who is confident, competent, and experienced in Administration (a knowledge of Occupational Health would be beneficial, but training will be provided). We are a “paper light” department with a specific Occupational Health system in place, experience in this is preferred. You will be required to work flexibly, be able to prioritise tasks daily, you will have excellent communication skills and good organisational ability.

You will be responsible for providing an efficient administrative/secretarial service to the Occupational Health & Wellbeing team, acting as a main contact and the channel of communication between users of the service, maintaining a professional but sympathetic manner at all times. It is vital that you deal appropriately with sensitive and confidential information from the clinical team using initiative to direct this appropriately whilst supporting the Office Manager in caseload management and the operation of reminder and recall systems. Duties also include the transcribing of clinical and general correspondence, taking action to reply to routine correspondence, managing invoices and finance reports, inputting data, minute taking and meeting preparation activities/diary management. There is significant use of Excel and familiarity and competence in this software and other Microsoft software packages will be essential.

You need to be computer literate and have extensive knowledge of Microsoft Office Programmes as the roles includes activities such as the following:

- Editing letters and reports
- Arranging meetings/case conferences
- Minute taking
- Creating and updating spreadsheets, as well as databases
- Maintaining electronic filing systems
- Supporting the clinical team
- Monthly invoicing for our private clients and dealing with queries
- Participating in contract preparation/issuing/monitoring
- Arranging external clinics
- Ordering stock and clinical supplies via Internal Procurement systems
- Run reports and audits as requested via Internal OH System
