Main Duties:

- To assist the Central Services team.
- To act as the first point of call for all Central Services enquiries.
- To provide effective HR administration relating to the employment lifecycle.
- To maintain accurate records on all employees, contractors & business contracts.

Key Tasks:
1 Recruitment and Selection
- Ensure that all necessary employment checks are completed including compliance and right to work checks, qualification and medical checks and references.

2 On-boarding and Induction
- Administer the process for new employees and workers, for example; prepare contracts, offer letters and process all pre-employment checks.
- Ensure necessary hardware, software and updated systems are in place for new starters.
- Conduct induction meetings with new employees and workers and liaise with managers to ensure they are aware of their responsibility in the induction process.
- Administer the probation process ensuring managers know when review meetings need to take place.

3 Payroll
- Ensure that all payroll instructions are prepared and logged in time for the monthly payroll run for example; contractual variations, new starters, leavers, contractual benefits and staff benefits.

4 Appraisal and Staff Development
- Assist with the business’s appraisal cycle, record completed appraisals and training needs.
- Roll out the induction e-learning package to new starters
- Coordinate and record completion of mandatory annual training for all employees.

5 HR Database and Reporting
- Be the primary contact for queries on the HR system (SAGE).
- Act as systems administrator for SAGE, configuring the system as required, controlling all user access, managing data flows in and out of the system and ensuring accuracy and data protection compliance.
- Ensure the HR Database accurately reflects current staff conditions and details. This includes inputting starters and leavers, contractual amendments, change of details, annual leave and recording of sicknesses and other leave.
- Provide appropriate reports from the HR database for the purpose of auditing and monitoring employee data and training.
- Recommend appropriate revisions to business policies & procedures
- Database annual cleansing.

6 Advice and Guidance
- Provide day to day advice to managers, employees & contractors on: general HR related queries and business policies and procedures, escalating more complex issues to the HR Manager or Central Services team.
- Assist in formal meetings, such as employee disciplinary hearings and grievances.
- Ensure compliance of internal systems, policies and procedures with applicable law.

7 Leaver Administration
- Ensure resignations are acknowledged in a timely manner, managers are aware of the process, and any outstanding annual leave is calculated in accordance with the employee’s terms and conditions.
- Ensure exit interviews are conducted for all staff either face to face or electronically.

8 General Administration
- Respond to reference requests for current or ex-members of staff
- Ensure electronic and paper based personnel files, legal cases and investigation records are maintained and filing/archiving is completed in a timely manner.
- Ensure workstation & office risk assessments are conducted as and when required and reviewed appropriately, referring staff issues for Health and Safety risk assessments where appropriate (e.g. maternity, COVID-19).
- Take meeting minutes and circulate agreed actions as required.

9 Projects
- Assist the Central Services team in developing and implementing new projects.

10 General
- Make appropriate recommendations for service improvement.
- Undertake any other appropriate duties as may be required.
- Attend and complete relevant training.
- Co-operate with and take part in the business’s appraisal process.
- Demonstrate support for the business’s development and values.

Pay: £24,000.00-£26,000.00 per year
