Your role

The role reports to the Managing Directors and Senior HR Business Partner of The Whisky Exchange/Speciality Drinks Ltd. This dual role will support our 2 Managing Directors and in all comprehensive secretarial and administrative duties as well as having responsibility for enhancing the employee experience and ensuring employee data is true, relevant & usable to Speciality Drinks

The role holder will be proactive, with experience as an Executive Assistant or Personal Assistant, ideally from within the wines and spirits or luxury brands industry. They will have had exposure to human resources administration and be able to plan and prioritise their workload, with a proven track record of delivering a comprehensive administrative Service.

This role is hybrid with at least three days per week at our head office in Park Royal.

Your unique contribution

PA

Manage and maintain the Managing Directors' schedules, appointments and travel arrangements

Efficient preparation and co-ordination of travel and accommodation requirements and itineraries

Arrange and co-ordinate meetings and events at all levels including hospitality

Responsible for completing expense reports for MDs and inputting into local systems

Interact with external company contacts to facilitate meetings and guest visits

Screening phone calls, enquiries and requests, notify the MDs of key issues requiring action and handling them when appropriate

Internal Communications Support in conjunction with HR and PR teams

Ad hoc duties where required

HR

Ensure an excellent onboarding for new starters, including checking of Right to Work completion data within HRIS and future employee is prepared for their first date with time and location details

Liaising with IT & Facilities to book induction for new starters. Completing HR Induction and ensuring HR induction slides are kept up to date and relevant

Provide changes and references in a timely, accurate manner, ensuring HRIS is updated and documentation is sent through the HRIS where appropriate.

Attend relevant probationary review meetings as HR representative, supporting effective line manager conversations

Completing leaver documentation, i.e resignation acknowledgement, IT leaver checklist

Provide and administer all security badges through Paxton arranging staff photographs with Photography team

Support in ensuring employee documentation is electronically filed correctly and is easily identifiable

Manage training administration, including; maintaining training records of First Aid & Fire Marshalls, booking training for Personal License, scheduling training in line with calendar, collating post-session feedback

Create & upload slides to Teams for Birthdays & Length of service, along with fortnightly new starter introductions.

Complete 6 monthly driving license checks for all employees who drive company vehicles.
