**Main Purpose of the role**:
Working as a member of the Governance Support Team which forms part of the Support Services
Team, who provide professional guidance and support to our Union, the post holder will have responsibility for:

- Event organiser for the annual Baptist Assembly (an annual gathering of 500 -1,000

Baptists from across England and Wales)
- Organising and programming other key Baptist Together events
- Administrative support as part of the Governance Support Team

**Key Responsibilities**

**1. Assembly**
- Manager of the Baptist Assembly project team, responsible for the practical work of organising and delivering the annual Assembly from conception to completion, on time and on budget
- Ensuring that clear timelines and priorities are in place, and that these are communicated to all involved
- To coordinate all those involved in the Assembly programme, including BUGB colleagues,

BMS staff and outside agencies.
- Agreeing the event budget with the Support Services Team leader and managing expenditure against that budget.
- To act as event organiser throughout the planning stages and the event itself, building and sustaining good working relationships with the venue team and with all those external organisations contributing to the delivery of Assembly. Some of the areas included are: o Travelling to on-site inspections and event management meetings o Liaising with those involved in the plenary sessions, including the venue, to ensure programme is in place, visuals have been prepared and contributors understand what is planned/expected. o Working with colleagues to plan the seminar programme and ensuring speakers understand the brief and have necessary space and equipment provided
- Marketing and registration of stands for the networking zone (exhibition space) and responding to all queries. o Liaising with potential sponsors and suppliers to clarify how they might be involved in supporting the event o Sourcing teams to run the Tots, Children and Youth Programmes o Ensuring appropriate copyright licencing is in place for the event. o Updating the Baptist Assembly website to encourage people to attend, and provide detailed information for delegates o Liaising with BSL interpreting team to ensure this facility runs smoothly o Ensuring ticket registration is set up and staffed appropriately for the event o Mailshots to delegates, staff team and contributors prior to the event to provide all required information o Organising accommodation and hospitality for contributors, staff team and other volunteers over the weekend as agreed with Team Leader of Faith & Society.

**2. Governance Support**

Supporting the wider work of the Governance Support Team, including but not limited to:

- Delivery of events other than Assembly
- Administrative support to the Specialist Teams including o Support for Listed Buildings o Assisting with Legal & Ops admin o Support as required for Faith & Society events and admin o Any ad hoc support provided by the Governance & Support Team.
- Administration support to governance meetings, projects and events
- Query handling - responding and referring as required
- Website work - updating and adding material to the Baptists Together website
- Administering of departmental inboxes
