Bluestones staffing is working with our client Bondelivery and due to continued growth throughout the business they have a requirement for an immediate start Administration assistant
Location - Nutts corner
Salary £10.50 - £11.50phr (Depending on age)
Hours : Sunday to Thursday 08:00am to 17:00pm
**Duties**:
**CLERICAL**
- Generate/populate daily KPI, warehouse, no stock, printed only reports and circulate as per management and client requirements;
- Generate/Populate reports as per Management or Client requirements/request;
- Investigate, follow up and report non-compliance;
- Liaise with the warehouse team leaders, supervisors, management and warehouse staff regarding any requirements;
- Respond promptly to client and management requests for information / paperwork / reporting requests when required;
- Liaise with warehouse and management regarding queries, information for reports and any problems;
- Ensure hours recorded on NDTS loading report are correct in accordance to activity logs and delivery dispatch figures listed;
- Ensure all activity logs fully returned and correctly completed, reporting anomalies to Manager/Supervisor/Team Leader;
- Populate warehouse productivity report from activity logs and report down time to manager;
- Carry out compliance audits, investigations, corrections, reporting and populating non-compliance reports;
- Managing and maintaining accuracy of stock file within required time frames;
- Investigate any inaccuracy in activity logs and reporting’s;
- Produce weekly productivity league tables for all measurable tasks and display on notice board with daily no stock and pick figures;
- Report any anomalies between hours reported per shift and clocking system;
- Liaise with management regarding customer queries / complaints, inaccurate documentation / discrepancies;
- Assist on the pick/pack floor when required;
- General filing, typing and any other clerical / administration duties as they arise;
- To cover other clerical / administration / departmental duties when appropriate.
**QUALITY**
- To participate in quality audits when appropriate;
- Ensure all administration and filing is completed in a timely and accurate manner (see aforementioned);
- Ensure you get it right first time;
- Due to the diverse range of clients Bondelivery provides a service to, you must ensure you are fully aware of the different client specifications;
- Communicate any changes to client specifications or operational procedures to the internal quality auditor and manager to ensure an up to date quality manual is maintained;
- Adhere to all operational procedures;
- To ensure compliance with Company Quality Policy;
- To observe Company philosophy on proposals and continuous improvement for the betterment of service, methods and working environment efficiency;
- Immediately report any concerns you may have on any aspect of quality.
**HEALTH AND SAFETY**:
- Maintain a safe and tidy work area;
- To adhere to safe working practices in accordance with legislation and comply with all Company Health and Safety Rules and Regulations;
- To work in a manner as to prevent or minimize the risk of accident to yourself or others;
- Wear the relevant protective clothing at all times when in warehouse / yard area (e.g. high visibility vest);
- To exercise extreme caution in the warehouse / yard ensuring awareness of vehicular traffic;
- Report all work place accidents and near misses immediately;
- To co-operate fully with management and appropriate outside bodies during investigations.
**CUSTOMER SERVICE**:
- Ensure all customers are dealt with courtesy at all times;
- Answer the telephone in accordance with company standards;
- Promptly pass on all messages without delay to the relevant persons completing the relevant sections on the message pad;
- Deal with complaints politely and promptly;
- To ensure the principles of good customer service is applied to internal and external customers;
- Liaise with distribution staff regarding problems at delivery point;
- Liaise with customers to ensure they are updated regarding any issues with their delivery and provided promptly with relevant information requested;
- Liaise with other hauliers regarding incoming outgoing deliveries;
- Ensure warehouse supervisors are provided with prompt information regarding any delivery issues.
**OTHER**:
- Wear the company uniform (if provided) at all times and maintain the uniform in a clean and tidy manner;
- To provide management with relevant information and reports when requested;
Pay: £10.50-£11.50 per hour
