**DATA ADMINISTRATOR - Full Time 12 Month Contract**
**37.5 hours per week (negotiable)**

The post holder will be responsible for accurate data entry onto our clinical system, for organising the patient call/recall systems within the Practice and for general admin and IT support. Excellent IT skills essential; NHS/general practice experience desirable.

**JOB PURPOSE**

**PERSON SPECIFICATION**
- Providing high quality data entry onto TPP SystmOne clinical computer system on behalf of the primary health care team.
- Undertaking designated administrative duties including organisation of patient call/recall systems for the practice.
- QOF administration
- First line IT support.

**Essential**
- Three GCSE/O levels (or equivalent), including Mathematics.
- Good IT skills, with a sound practical knowledge of Word and Excel.
- Ability to take responsibility, work on own initiative and effectively prioritise workload.
- Ability to work accurately and effectively under pressure and to meet deadlines.
- Flexibility and a team worker.
- Good communicator; telephone and interpersonal skills.

**Desirable**
- Five or more GCSE/O levels (or equivalent), including Mathematics, English Language and IT related studies.
- Previous NHS experience.
- Experience of working in General Practice.
- Working knowledge of QOF/enhanced services.
- Practical use of TPP SystmOne or a Windows based clinical system.
- Audit or service review experience.
- **KEY RESULT AREAS**_

1. To input a wide range of clinical data onto the clinical system, utilising accurate Read/SNOMED codes for all entries and observing practice protocols. This will include incoming scanned correspondence, out of hours’ contacts, breast screening, cervical screening results, immunisations, new patient questionnaires etc.

2. Ensure the effective operation of patient call and recall systems, including chronic disease annual reviews, enhanced services and routine immunisations, e.g. new baby checks, pneumococcal, shingles & pre-school boosters.

3. Responsibility for enhanced services administration, including reporting, data checks and claims.

4. Monitor practice performance against QOF targets. To produce progress reports for Practice Clinical Meetings as required. To highlight areas for attention/action to the clinical team as necessary.

5. Develop and run monthly/ad hoc reports on the clinical system as requested to support contractual, management and audit requirements.

7. Liaison with nursing staff/Reception Manager regarding the organisation of ad hoc clinics. Responsibility for sending out patient mail shots, appointment letters and other correspondence as required.

8. Responsibility for the daily outgoing post including special deliveries/recorded post.

9. To provide administrative input into monthly stock checks and highlight any missing items to the clinical team as necessary.

10. In conjunction with the Reception Manager, to act as a ‘trouble shooter’ for first line smartcard/computer/IT problems in the practice; referring for support to the Operational Manager as necessary.

11. To provide administrative input into the annual ‘flu campaign including data entry from patient lists and other associated tasks.

12. Responsibility for the ordering of stationery, consumables & office equipment for the practice as required.

13. Responsibility for coordinating production and distribution of practice Newsletter.

14. To provide support to scanning and work-flow processes in the practice.

15.To provide first line cover in respect of defined administrative tasks in the absence of the Reception Manager.

16. To undertake additional tasks and projects as delegated by the Practice Manager or Operational Manager.
