The Personal Assistant is a key member of the South East Nursing Directorate whose overarching goal is to provide comprehensive, high-level support to the South East Regional Chief Nurse, the South East Regional Chief Midwife and South East Nursing Directorate Business Manager.

The post holder must be comfortable working in a responsive and highly reactive role, have demonstrable experience supporting senior leaders, be adept at managing dynamic dairies, have the versatility to respond effectively to competing priorities and challenges, and demonstrate excellent communication skills.

The Personal Assistant role is offered on a hybrid working basis.

Manage extremely busy diaries for the Regional Chief Nurse and Regional Chief Midwife, which necessitates the ability to work at pace, respond quickly to changing demands and make informed, independent decisions using common sense and sound judgement. Use initiative to horizon scan and demonstrate prudence when organising the Regional Chief Nurse and Regional Chief Midwife's schedule to allow both the latitude and capacity to focus on regional and national delivery. Be comfortable managing expectations, communicating with diplomacy and tact.

Organise and plan meetings and events as directed, including sending invitations, booking venues, making travel arrangements, arranging speakers and providing relevant papers and material.

Provide secretariat function for meetings and events, including preparation of agendas and minutes of meetings, capturing pertinent information and disseminating same for reference and follow-up.

Inbox management for the Regional Chief Nurse, which requires the ability to triage large volumes of information for dissemination, escalation and follow-up.

Be the first point of contact for the Regional Chief Nurse’s office and the Regional Chief Midwife, engaging with internal and external stakeholders with gravitas.

Wider support to the Nursing Directorate through day to day transactions delegated by the Business Manager.

Provide cross-cover for Nursing Directorate Personal Assistants.

Flexible approach to work in line with the needs of the business.

You will be an essential and valued member of the team; not only will you learn about the roles of the Regional Chief Nurse, Regional Chief Midwife, and Business Manager through the comprehensive support you will provide, you will also develop your knowledge of the myriad ways the Nursing Directorate work with and through the local health systems.

As a Personal Assistant the post holder will provide and coordinate

**administrative services including but not limited to**:

- Full diary management support to the Regional Chief Nurse and Regional

Chief Midwife using a responsive, proactive approach to maximise the
Regional Chief Nurse and Regional Chief Midwife’s time to best effect. This
includes appropriately managing diary requests, horizon scanning, and
delegation of meetings (when applicable).
- Communicating with internal and external stakeholders, demonstrating

gravitas and diplomatic skills to effectively manage stakeholder
expectations.
- Provide secretariat support for meetings including drafting agendas, minute taking and action tracking.
- Ensure the Regional Chief Nurse and Regional Chief Midwife are

appraised of key information in a timely manner.
- To self-initiate solutions to issues arising on a day to day basis.
- Responsible for managing sensitive and complex business and

communication issues in the absence of the Business Manager.
- Responsible for the smooth running of the business support function in

collaboration with the Business Manager and other Personal Assistants
within the Nursing Directorate. Provide cross-cover for other
Personal Assistants.
