We are always striving to provide our clients with the best service, from the moment they pick up the phone to us to the minute they leave our clinics and beyond.

**Key responsibilities**

In line with policies and procedures key responsibilities include:
**Filing**
- Add documents to existing client files
- Work with our CRM system 'Cliniko' to log and record documents
- Filing and file housekeeping
- Processing hearing test charts and/or patient files regarding Audiology
- Maintain all filing and work areas in a tidy and orderly manner
- Collect hard copy files and documents and return files to shelves

**Post**
- Sort and distribute incoming post, sort outgoing post, and undertake post office runs
- Record all incoming/outgoing special mail, messenger and courier companies. Keep office manager and Cliniko updated on all aspects

**Scanning**
- Maintain equipment to a good working order and troubleshoot problems, place service calls when needed
- Follow all stock and consumable procedures. Replenish copiers with all consumables
- Prioritise jobs and run them to meet requirements and deadlines
- Provide photocopying and scanning as per instructions

**Administrative/Phone duties**
- Collect and accurately input relevant information
- Keep unpaid invoices up to date, along with calling clients for taking payment
- Constantly seek ways to improve operations and suggest and implement approved ideas
- Keep up to date with our pricing and services to help clients efficiently and accurately with their queries
- Communicate with management on a day-to-day basis to help the business run smoothly
- Work closely with management and help keep all clinics updated on Cliniko
- Provide support to Audiologists and Management

**Occasional phone work duties**
- Deal with phone enquires in a prompt, efficient and polite manner
- Ensure recalls and call-backs are actioned

**Person specification**
- Strong communication, organisational and team skills
- Very high attention to detail
- Flexible and dependable, able to take the initiative, able to grow with the role
- Able to remain calm under pressure and work to deadlines
- Conscientious, approachable, and enthusiastic
- Able to quickly build confidence, respect, and trust with others

**Technical knowledge**
- Good knowledge of Microsoft Word, Outlook and Excel is a benefit

Full training will be given, and will start with 3 weeks full time training, Monday to Friday. **Please ensure you are able to commit before applying.**

**Weekly shift pattern**:

- Wednesdays, Thursdays and Fridays
- 8.30am-4.30pm

DBS check ideal, but this can be arranged.

**Job Types**: Part-time, Permanent

**Salary**: £10.50 per hour
