**Position Description**:

Program Assistants will be responsible for assisting with various administrative tasks, coordinating program logistics, and providing support to students and other stakeholders.

This job description is meant to provide an outline of essential job functions of the Program Assistant position and is not an all-inclusive list.

**Essential Functions**
- Serve as the first point of contact onsite by greeting, welcoming, and directing them appropriately.
- Assist with coordination of program logistics, including travel arrangements, accommodation bookings, excursions, and cultural activities.
- Assist with the development and dissemination of program materials, including orientations, handbooks, and informational resources.
- Support program evaluation and assessment efforts, gathering feedback from participants and stakeholders to inform program enhancements.
- Contribute to the development and implementation of initiatives to enhance the overall student experience
- Submit reports, paperwork, and projects on time and with attention to detail.
- Monitor student academic progress, update records, and take necessary academic actions while ensuring accurate reporting.
- Conduct Health & Safety inspections and student well-being checks as directed.
- Fill in for Student Support Advisors as needed.
- Create and maintain a student-centered environment by engaging regularly with students and guests.
- Support Student Club programs and initiatives to enhance student involvement.
- Educate students on Verto policies and procedures, including safety guidelines, Code of Responsibility, and Academic Actions.
- Preserve the confidentiality of personal information obtained during employment.
- Serve in an on-call rotation to address community needs and respond to emergencies according to protocol.
- Educate students on Code of Responsibility, Academic Integrity, and Housing policies.
- Write incident reports promptly, ensuring clarity, accuracy, and appropriate detail.
- Follow up with students in crisis or confronted for policy violations to provide support.
- Provide academic support to students and escalate academic concerns as necessary.
- Assess student programmatic needs and address them proactively.
- Sign for deliveries and ensure all mail and packages are distributed accordingly.
- Provide administrative support to all team members as necessary

**Qualifications**:

- Bachelor's degree in a related field or equivalent experience.
- Previous experience in student support, advising, or similar roles preferred.
- Excellent organizational, time management, and communication skills.
- Ability to handle crisis situations calmly and effectively.
- Strong interpersonal skills and commitment to fostering inclusive communities.
- Knowledge of international education or study abroad programs is advantageous.
- Flexibility to work occasional evenings, weekends, and travel as needed.

**WORK AND ENVIRONMENTAL CONDITIONS**
- Program Assistants will be expected to attend overnight trips in which accommodations and schedule may differ from typical conditions
- The work pace is continually fast-paced and work is required for more than 4 hours at time
- The environment in which the job is performed outside may include exposure to extreme temperature, noise, heights, or other hazards
