**Job Title: Business Support Administrator - Newry, Mourne and Down District Council**

**PAYE Rate**:£13.47 ph (including 12.07% holiday pay)

**Duties and Responsibilities**

1. Provide extensive administrative and confidential secretarial support on a daily basis to a number of Council Officers, acting as the primary point of contact for a service or department.

2. Offer cross-departmental business support as needed within the Business Support Service, adhering to agreed service standards and standard operating procedures to ensure the highest quality work, including prompt and efficient turnaround times and work prioritisation.

4. Provide exemplary customer service, including reception services, liaison with other council departments, external agencies, and the general public, and taking ownership of customer queries and complaints until resolution.

5. Provide information and advice to coworkers and clients about business support processes.

6. Manage a range of data and document management systems, including filing, archiving, retrieval, research, accuracy verification, and data transfer to other agencies in accordance with statutory or service-level agreement requirements.

7. Prepare papers, reports, and recommendations, manage correspondence, and maintain follow-up in accordance with departmental procedures.

8. Process financial transactions, including receipt and recording of all funds (including credit card payments), bank lodgments, financial record updates, invoice generation and processing, purchasing goods and/or services, maintaining stock control records, and assisting with financial claims and budget monitoring in accordance with financial regulations and governance.

9. Operate and monitor the Councils manual and computerised booking/requisition systems in accordance with the approved procedures.

10. Respond to correspondence in a timely manner, draft, issue, and respond according to departmental procedures and agreed-upon timeframes.

11. Organise meetings, prepare agendas and service meetings, take minutes, distribute relevant documents and action recommendations, and maintain follow-up as required.

Qualifications ‐ Knowledge of working within a children's service context ‐ GCSE Grade A-C (or equivalent) in English Language and Mathematics ‐ Ability To Communicate Effectively Both Orally & In Writing To A Wide Range Of People ‐ Teamworking skills and the ability to work on your own initiative ‐ Experience of multi-agency working ‐ Self Motivated, Flexible & Resourceful ‐ Experience of working in an environment where you maintain records and minutes of confidential multi-agency meetings ‐ Trustworthy and reliable ‐ To be able to competently minute professional/practitioner meetings and produce an acceptable draft within a specified timescale ‐ Previous experience in similar role ‐ Experience with using Google Suite or Microsoft Office ‐ A commitment to operate in a customer focussed environment ‐ Record keeping and report writing ‐ Ability To Organise Own Workload To Meet Targets & Deadlines ‐ Proven record of minute taking ‐ Confident in using ICT to undertake the required functions of the role
