We are looknig for an Administration Officer for a local charity.
Working from Leamington Spa with some travel to Stratford upon Avon office location. You must have access to your own car.

**Salary**: £26,300
37 hours per week - Monday - Friday

**The role**:
Reporting to Operations Manager.
The postholder will provide high level administrative support to the management team at the local charity.
As a volunteer led organisation, much of your work will involve working with both paid staff and volunteers, ensuring they are able to log onto the systems, and are able to print and scan material. You will be a point of contact for the IT and telephone provider and support the Operations Manager, and the CEO with any delegated tasks.
This is a busy and varied role; no two days are the same, and we need accuracy, an eye for detail, and the ability to juggle tasks and priorities.

**Duties and Responsibilities**
Office & premises administration and maintenance
- Management and co-ordination of the Leamington Spa office initially; all internal administrative systems and processes, and supporting H&S, maintenance of office equipment and office supplies- Monitoring the administration of incoming and outgoing post/mail- Supporting external and internal event planning- Working with our IT solutions company, ensure compliance with GDPR for physical security and digital assurance, and assist in supporting the IT systems where appropriate including equipment for new starters- Working with key Managers, to oversee office equipment, premises faults, repairs and ensuring the general maintenance of the buildings is maintained and issues escalated as appropriate- Maintaining processes in relation to the management of records filing, archives, offsite storage and disposal- Ensuring adequate stocks of updated necessary publications, forms and leaflets are available in offices- Management and control of the stock of mobile phones and their replacementMaintaining HR related/staff admin processes
- Maintaining an updated and secure database of staff and volunteer details, obtaining references, DBS checks and maintaining First aider registers, holiday, sickness and general HR records- Working with the Management Team, organise, complete and document Health & Safety audits and ensure actions are completed to uphold health and safety throughout the offices, including first aid. Training will be given to a recognised industry standard.- Working with the Management Team, organise, complete and document fire response training with Fire safety audits and ensure actions are completed to uphold fire safety throughout the offices - this will include fire alarm checks- Lead on the administrative functions relating to the advertisement of job roles and subsequent recruitment process including setting up interviews, preparing offer letters with managers and coordinating pre employment checks and references-
Operations management support functions
- Attend senior management team meetings and maintain the actions reporting as required- Taking notes for key meetings as directed- Any other appropriate duties within the scope of the role
