**TEAM ASSISTANT (PART-TIME)**
Our client are seeking a part-time Team Assistant who will provide first class secretarial and administrative support for their office in central London, for 3 days a week from 9.30am to 5.30pm. The team are small, friendly and hard-working and require astrong, resourceful and conscientious person with lots of initiative.
The client are an enterprising Trade Association with more than 2000 members and are the largest, most comprehensive supply chain body in the UK. In addition, the client administers two membership schemes on behalf of established organisations within theirindustry.
**WHAT WILL YOU BE RESPONSIBLE FOR?**
- To support the team with a variety of administrative tasks, including raising invoices and data entry, and office calendar management.
- To provide secretarial and admin support in arranging meetings, booking rooms and venues and co-organising one annual gala dinner and one or more receptions. Setting up and using online booking services to collate responses.
- Creation of meeting handouts and notes, badges and sign-in sheets.
- Taking ownership of the system/procedure that deals with member certification for the client.
- Meeting and greeting all visitors to the office and making sure they are looked after.
- First point of contact for phone calls and visitors.
- Liaising with members regarding website access and updating various databases when details are updated.
- Stock-keeping and ordering office supplies.
- Administration of various third-party accounts - transport, publications, subscriptions.
- Keeping the office and reception areas tidy.
**WHAT KNOWLEDGE, SKILLS AND ABILITIES ARE REQUIRED?**
- Experience in an administrative environment.
- Communication skills are essential. The post holder is required to have an excellent telephone manner as well as the ability to write clear, grammatically correct communications to internal and external contacts and stakeholders.
- To be very customer focused with excellent customer service skills and ability to deal with people at all levels.
- Strong organisational skills with the ability to quickly assess and prioritise work requests.
- To work flexibly when under pressure at busy periods of the business calendar.
- Excellent IT skills on Outlook, Word, Excel, PowerPoint and Sage and needs to be very adept at learning new systems. Printing, scanning, booklet/leaflet production would all be useful, and some desk top publishing knowledge is essential. Knowledge of CRMsystems is essential and knowledge of CMS is very much preferred.
- The post holder needs to able to operate clerical routines, work under pressure, be self-motivated, have a methodical approach with attention to detail.
- The post holder will be required to work as an active member of a team, establish good working relationships, be proactive and use initiative and be able to work without constant supervision.
- The ability to manage diverse demands on your time and a busy workload.
