My client a reputable and established professional membership body is currently searching for a Team Assistant to based from home with 1 day each week in at their offices in Holborn, Central London.

The Role of Team Assistant.

This role will provide high quality administrative support to the CEO Team in all aspects, as well as interacting with multiple stakeholders both internally and externally.

Job Responsibilities

The management of the organisational-wide calendar.

Scheduling meetings; co-ordinating availability of attendees, confirming dates, locations and hospitality as appropriate. Informing attendees and the circulation of any relevant papers.

Circulating meeting invitations for various governance meetings, the Leadership/Senior

Management Group meetings, and CEO Team away days.

Preparing draft agendas and taking minutes.

Keeping track of any actions and following up on actions, in a timely way, prior to the next meeting.

Day-to-day management of the institute's inbox(es).

Working alongside the deputy chief of staff, providing support for the for the Presidential Team and CEO travel schedules.

Conference registration, visa processes, booking accommodation and providing travel information briefings.

Including all logístical arrangements, confirmation of meetings/venue bookings and other associated administration/hospitality that is required.

Institute's wide events

Working alongside the deputy chief of staff, providing assistance with regards the organisation of institute's wide events such as the annual all-colleague meeting and CEO team away days.

This includes developing draft agendas, venue proposals, planning and scheduling of logistics.

Working alongside the Internal Communications and Change Leader, providing web maintenance support for starters, leavers, promotions and basic intranet postings.

Management of selected external web pages.

Knowledge and Experience

Evidence of the ability to deliver a high-quality administrative service across a complex and evolving organisation.

The ability to work independently, using own initiative to proactively solve problems.

Evidence of working autonomously in a fast-paced environment.

The ability to work collaboratively.

A flexible approach.

The ability to execute events across multiple stakeholders.

Proficient in scheduling and Inbox management.

Excellent IT skills including MS Teams, all Microsoft packages and working CRM systems and databases.

Strong communication and good interpersonal skills.

Able to recognise sensitive and/or confidential information and handle appropriately.

Excellent attention to detail.

Excellent organisational and time management skills.

Ability to show a strong commitment to the organisations purpose and values.
